Organization Moore Public Schools Foundation Employment Type Part-Time, Hourly Organization Description The Moore Public Schools Foundation, established in 1995 by community leaders, is dedicated to enhancing, expanding, and enriching the educational experiences of nearly 25,000 students within Moore Public Schools. Our mission is driven by private donations, grants, and community support to foster academic excellence across the district. The Foundation supports students and teachers through annual grant cycles, fundraising events, and community partnerships. Position Overview The Moore Public Schools Foundation seeks a motivated, organized, and dependable Development Assistant to support the Foundation’s day-to-day operations, donor and gift processing, events, communications, and program administration. This is a primarily administrative and office-based role with opportunities to represent the Foundation at events and in the community. The ideal candidate is detail-oriented, self-motivated, comfortable managing multiple priorities, and an excellent written communicator. This person should take ownership of recurring responsibilities, follow through with minimal supervision, and enjoy supporting work that benefits Moore Public Schools students, teachers, and staff. This part-time position is typically 20–25 hours per week. Most weeks, the employee may set their own schedule, with the majority of work completed in the office during weekday daytime hours between 8:00 a.m. and 5:00 p.m. Hours may fluctuate throughout the year based on event and fundraising cycles, with increased hours during busier seasons and reduced hours during quieter periods. Remote work may be available when appropriate. Some evening or occasional weekend availability is required for Foundation events. Reporting Structure The Development Assistant reports directly to the Executive Director of the Moore Public Schools Foundation, who reports to the MPSF Board of Directors. This position supports the Executive Director in executing the Foundation’s initiatives and collaborates with board members as needed to advance the organization’s mission. Key Responsibilities Administrative Support Maintain organized physical and digital Foundation records, including receipts, donor documentation, and supporting financial files. Manage routine office tasks such as checking voicemail and mail, filing, data entry, and keeping shared drives organized. Prepare and send professional email correspondence, thank‑you letters, pledge invoices, and other routine communications. Monitor and respond to general Foundation inquiries, including messages submitted through the Foundation website. Assist with scheduling approved social media content and other communications as needed. Take ownership of recurring administrative tasks and follow through with minimal supervision. Donor & Gift Management Maintain accurate donor and gift records in Givebutter, including monetary and in‑kind contributions. Keep donor records current by updating contact information, resolving duplicates, and maintaining complete records. Process gifts and generate timely donor receipts and acknowledgment letters. Maintain accurate event sponsor records and tracking lists. Provide administrative follow‑up and processing support related to donations and sponsorships. Ensure gift documentation and supporting records are complete, organized, and easily accessible. Manage RSVPs, attendee lists, event registration, and related records. Maintain accurate sponsor tracking and event fulfillment records. Coordinate volunteer instructions, assignments, communication, and day‑of support. Track silent auction and raffle donations, items, and related documentation. Keep event records and donor information updated in Givebutter. Attend Foundation events and assist with setup, check‑in, logistics, guest support, and teardown as needed. Support the Executive Director with event planning, vendor coordination, supplies, signage, materials, and post‑event follow‑up. Community Engagement Represent the Foundation at school district, chamber, and community events as needed. Assist with maintaining positive relationships with community partners, donors, schools, and other stakeholders. Help prepare materials and information for presentations, meetings, and community outreach. Support follow‑up with community contacts and partnership opportunities. Program Support Provide administrative and logistical support for Foundation programs, grants, and initiatives. Communicate with Moore Public Schools staff regarding applications, awards, deadlines, documentation, and other program needs. Maintain organized program records and assist with tracking participation, funding, and outcomes. Assist with collecting information, photos, stories, and documentation needed to share the impact of Foundation‑funded programs. Support the Executive Director with program‑related projects and activities as needed. Qualifications Education & Experience High school diploma or equivalent required. Previous experience in administrative support, nonprofit work, event coordination, donor relations, or a related role preferred. Experience managing records, correspondence, data entry, and routine administrative processes preferred. Skills & Abilities Excellent organization, attention to detail, and follow‑through. Strong communication skills Ability to manage multiple priorities and recurring responsibilities with minimal supervision. Self‑motivated, dependable, and comfortable taking ownership of assigned tasks. Strong interpersonal skills and a professional, welcoming demeanor with donors, volunteers, school staff, and community members. Comfortable learning and using digital tools, databases, shared drives, and office technology. Ability to handle confidential donor, financial, and organizational information with discretion. Flexible and willing to assist with occasional evening or weekend Foundation events. Commitment to the mission of the Moore Public Schools Foundation and supporting Moore Public Schools students and staff. Additional Requirements Ability to perform the physical tasks associated with office and event support, including occasional lifting of materials weighing up to 25 pounds, with or without reasonable accommodation. Availability for occasional evening or weekend Foundation events. Schedule and Compensation Part‑time, typically 20–25 hours per week. Flexible weekday schedule, with the majority of work completed during regular office hours.
