Job Summary

The Lease Administrator is responsible for managing, reviewing, and maintaining lease documentation and related data for approximately 80 leases to ensure accuracy, compliance, and timely execution of lease obligations. This role supports real estate, finance, and legal teams by tracking critical lease terms, payments, renewals, and amendments while serving as a key point of contact for lease-related inquiries.

Key Responsibilities

• Administer and maintain lease records, including new leases, renewals, amendments, assignments, and terminations
• Abstract key lease terms (rent, escalations, options, CAM charges, insurance, taxes, etc.) into lease management systems
• Monitor critical dates such as renewals, expirations, rent escalations, and notice deadlines; issue timely reminders
• Coordinate execution of lease documents and ensure proper filing and record retention
• Review lease documents for accuracy and consistency; flag discrepancies or risks for legal or management review
• Process rent payments, reconciliations, and billing adjustments in coordination with accounting/finance teams
• Assist with CAM reconciliations and respond to landlord or tenant inquiries
• Support audits, financial reporting, and compliance with accounting standards (e.g., ASC 842 / IFRS 16, if applicable)
• Prepare lease summaries, reports, and dashboards for management
• Communicate with landlords, tenants, brokers, attorneys, and internal stakeholders as needed
• Ensure lease administration processes follow company policies and best practices

Qualifications

• Associate’s or Bachelor’s degree in Business Administration, Real Estate, Finance, or a related field (or equivalent experience)
• 5+ years of experience in lease administration, real estate administration, or contract management (preferred)
• Strong understanding of commercial lease structures and terminology
• Experience with lease management software (e.g., MRI, Yardi, CoStar, LeaseQuery, Lucernex) preferred
• Proficiency in Microsoft Excel and other MS Office applications
• Excellent attention to detail and organizational skills
• Strong written and verbal communication skills
• Ability to manage multiple deadlines and prioritize effectively
