CLIENT SERVICES COORDINATOR

POSITION DESCRIPTION | Effective September 18, 2026 Reports To Client Services Director or Designee Status Full-Time Primary Work Locations Polk and Walker County Facilities Regular Schedule Monday-Friday, 8:30 a.m.-5:00 p.m.; on-call, evenings, weekends, and holidays as needed Position Summary The Client Services Coordinator supports the daily coordination of trauma-informed, survivor-centered services for individuals affected by family violence and sexual assault. This position assists with client advocacy, crisis response, documentation, scheduling, service coordination, and program reporting. The Coordinator also serves as the designated backup to the Shelter Manager when needed to help maintain safe, organized, and continuous residential operations. This is primarily a service-coordination and direct-support position and does not serve as the primary supervisor of shelter staff. Minimum Qualifications Bachelor's degree in human services, social sciences, or a related field preferred; relevant professional experience may be considered in lieu of a degree. Experience in victim services, crisis intervention, case coordination, residential services, social services, or a related field preferred. Experience maintaining confidential records, coordinating services, and completing accurate data entry and reports. Reliable transportation and current automobile insurance meeting State of Texas requirements. Essential Duties and Responsibilities Client Services and Crisis Support Provide trauma-informed crisis intervention, intake, safety planning, advocacy, information and referral, transportation, and supportive services in person or by telephone. Assist clients with access to counseling, support groups, housing, medical care, legal services, employment resources, benefits, life-skills education, and other community resources. Provide or coordinate accompaniment to hospitals, law enforcement agencies, courts, medical examinations, and other community appointments when assigned. Help assess immediate client needs and communicate relevant information to the appropriate advocate, Shelter Manager, or Client Services Director. Participate in the on-call rotation and provide direct-service coverage as assigned to support 24-hour service availability. Maintain appropriate professional boundaries and protect client confidentiality and shelter-location security. Service Coordination and Documentation Coordinate referrals, appointments, follow-up contacts, transportation, donations, mail distribution, and other services supporting client needs. Maintain accurate and timely client files, intake records, service logs, communication logs, hotline documentation, inventories, and other required records. Complete data entry in the agency client-services tracking system and assist with reconciliation of service data. Assist with preparation of monthly, quarterly, annual, grant, and internal reports by compiling and verifying required information. Review assigned documentation for completeness and promptly communicate missing or inconsistent information to the appropriate staff member. Assist with house meetings, case-coordination meetings, and client-service activities as assigned. Backup Support for Shelter Manager Serve as backup to the Shelter Manager during absences, emergencies, scheduling gaps, or other periods designated by agency leadership. Help coordinate routine shelter activities, residential coverage, shift communication, household needs, groceries, supplies, donations, and client transportation. Communicate immediate operational concerns and staff coverage needs to the Shelter Manager or Client Services Director. Monitor shelter safety, security, cleanliness, and basic facility conditions and promptly report maintenance, repair, or security concerns according to agency procedures. Assist residential advocates with established procedures, documentation requirements, and client-service coordination without assuming ongoing primary supervisory responsibility. Provide direct residential or hotline coverage when needed to maintain continuity of services. Program and Administrative Support Assist with implementation of agency policies, grant requirements, program standards, and established client-service procedures. Support orientation and task-specific training for new staff, interns, or volunteers when assigned. Maintain position-specific checklists, resource lists, forms, and routine workflow instructions. Coordinate communication among residential, outreach, counseling, advocacy, and administrative staff as needed for client services. Attend required staff meetings, case-management meetings, community meetings, and approved training. Assist with community events, outreach activities, and collaborative initiatives as assigned. Complete other duties and data-entry responsibilities as assigned. Required Knowledge, Skills, and Abilities Working knowledge of family violence, sexual assault, trauma-informed services, crisis intervention, confidentiality, safety planning, and survivor-centered advocacy. Strong organizational, follow-through, recordkeeping, verbal communication, and written communication skills. Ability to remain calm, use sound judgment, follow established procedures, and respond appropriately during crisis situations. Ability to coordinate multiple priorities, meet deadlines, maintain accurate records, and communicate concerns promptly. Ability to work independently while appropriately seeking direction and collaborating with staff and community partners. Ability to provide practical backup support without exceeding assigned authority or responsibilities. Flexibility and emotional and physical stamina to assist individuals experiencing prolonged or acute crisis situations. Physical and Work Environment Requirements The position may require walking, standing, kneeling, pushing, stooping, reaching above the shoulder, repeated bending, grasping, pulling, hearing with or without accommodation, seeing, writing, counting, reading, speaking, analyzing information, alphabetizing, lifting and carrying up to 45 pounds, perceiving depth, operating a motor vehicle, and operating office or agency equipment. Work may occur independently or near others, including environments where children are present. Extended or irregular hours may be required.
