Administrative Assistant

In this Administrative Assistant role, you will provide administrative, coordination, and project support to our fast-paced People Services Team. You will support recruiting, onboarding, Associate records, and day-to-day People Services operations while helping create a positive experience for current and prospective Associate-Owners. This role requires strong confidentiality, sound judgment, attention to detail, and the ability to work well independently and as part of a team.

Job Responsibilities Include:

• Greet guests and Associates as they enter People Services, both in person and on the phone
• Assist with interview scheduling, candidate communications, and new hire references
• Assist with preparing onboarding materials and new hire orientation
• Maintain Associate records and electronic personnel files
• Assist with People Services projects, events, and Associate engagement initiatives
• Prepare reports, presentations, and spreadsheets for the People Services Team
• Serve as a point of contact for Associates regarding People Services inquiries

What You Need To Have:

• Strong organizational skills
• Excellent verbal and written communication
• Ability to maintain a high level of confidentiality
• Ability to work in a fast-paced environment
• Strong attention to detail and accuracy
• Ability to prioritize multiple tasks and meet deadlines
• Professional demeanor when interacting with candidates, Associates, and guests
• Proficient with Microsoft Office applications, including Excel, Outlook, Word, PowerPoint, and Teams
• Experience with HRIS systems or related software is a plus
• Experience with emerging technologies, including AI-powered business tools
• Previous work experience in an office setting is preferred
• Bilingual skills are preferred but not required
