Accounting Specialist

The Accounting Specialist supports day-to-day accounting activities across multiple companies and accounts. This position assists with accounts payable, accounts receivable, invoicing, account reconciliations, per diem processing, financial recordkeeping, and other general accounting functions. The ideal candidate is organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. This position works closely with the Accounting Manager and other departments to help ensure financial transactions are processed accurately and on time.

Essential Duties and Responsibilities

The essential functions include, but are not limited to, the following:

• Processing accounts payable transactions, including reviewing invoices, coding expenses, and preparing payments for approval.
• Preparing and issuing customer and client invoices according to established billing schedules.
• Recording accounts receivable payments and following up on outstanding balances.
• Administering employee per diem payments and verifying required supporting documentation.
• Entering and maintaining financial transactions in NetSuite and other applicable accounting systems.
• Reconciling bank, credit card, and general ledger accounts and researching discrepancies as needed.
• Assisting with month-end and year-end close activities, including account reconciliations and supporting schedules.
• Supporting accounting functions across multiple companies, entities, departments, and financial accounts.
• Communicating with vendors and clients to resolve routine billing, payment, and documentation questions.
• Coordinating with Payroll, Human Resources, Operations, and other departments on accounting-related matters.
• Gathering reports, invoices, reconciliations, and supporting documentation for audit requests.
• Maintaining organized accounting files and records in accordance with company procedures and applicable record-retention requirements.
• Identifying unusual transactions or unresolved discrepancies and escalating concerns to the Accounting Manager for review.
• Performing general accounting and financial support duties as assigned.

Minimum Qualifications (Knowledge, Skills, and Abilities)

• Associate degree in Accounting, Finance, Business Administration, or a related field preferred; equivalent relevant experience may be considered.
• One to three years of accounting or related financial experience is preferred.
• Experience with accounts payable, accounts receivable, invoicing, and account reconciliations.
• Experience supporting multiple companies, entities, or financial accounts is a plus.
• Experience with NetSuite or a similar ERP/accounting system preferred; familiarity with QuickBooks and UKG Pro is a plus.
• Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
• Strong attention to detail and commitment to accuracy.
• Strong organizational, time-management, and problem-solving skills.
• Ability to prioritize multiple responsibilities, work with minimal supervision, and meet established deadlines.
• Strong written and verbal communication skills with the ability to collaborate effectively across departments.
• Ability to handle confidential financial and employee information with professionalism and discretion.
• Flexibility to work extended hours and travel for client deployments as needed.
• Ability to work onsite as required for training, orientation, or designated in-office days.
