IP Client Administrator - Patent Prosecution (High-Volume)

Full-Time | 2-Day in Office Hybrid | Boston, MA | New York, NY | Washington, DC | $91K – $101K + OT + Profit Sharing Remote options available if 50+ miles from office. Who This Role Is For This role is for a seasoned patent prosecution administrator who thrives at high volume and wants to own a major client relationship directly. Role 3–6 years of hands‑on U.S. patent prosecution filing experience. Comfortable processing 10–15 filings per day. Authorized to work in the U.S. without sponsorship. Work location: 2 days in office or fully remote. This is NOT for candidates with only docketing or clerical experience — hands‑on filing is required. Candidates from high‑volume IP boutiques (Fish & Richardson, Finnegan, Sterne Kessler) or BigLaw IP groups are especially well positioned. What You’ll Be Doing Prepare and file USPTO documents at high volume: office action responses, IDS submissions, issue fee payments, RCEs, PCT national stage entries, continuations, and divisionals. Serve as a direct liaison with one of the firm’s largest clients — managing expectations, deadlines, and workflow without attorney intermediaries. Manage practitioner dockets and maintain the integrity of electronic data and client IP files. Collaborate with the client to develop and improve SOPs, reference materials, and workflow processes. Train firm personnel on client‑specific procedures and mentor junior team members. What We’re Looking For 3–6 years of hands‑on U.S. patent prosecution filing experience (not just docketing). Comfortable at 10–15+ filings per day; volume capacity is the top qualifier. Background at a high‑volume IP boutique or BigLaw IP group strongly preferred. Strong client‑service orientation; able to manage direct client relationships with professionalism and calm.
