Job Summary The Customer Service Representative (CSR) supports assigned accounts and inbound inquiries by delivering high-quality service related to product specifications, order processing, and general account support. Job Duties & Responsibilities Responds promptly and professionally to customer inquiries via phone, email, and fax. Builds strong, solutions-focused relationships with customers and internal teams Manages communication with assigned accounts, handling product inquiries, pricing, and order processing (stock and special orders) Provides timely updates on order status, including back-orders, will-calls, and deliveries Shares pricing information, distributes dealer price sheets, and promotes current programs in line with company initiatives Supports Territory Managers with quote preparation, order entry, and account updates Collaborates with branch teams to deliver seamless customer service while independently managing workload to meet goals and deadlines Handles overflow calls, routes communications effectively, and ensures accurate message delivery Maintains proficiency in company systems for administrative tasks such as data entry, messaging, call logs, and workflow updates Performs additional duties as assigned, with flexibility to adapt to changing business needs and responsibilities Qualifications High school diploma or GED equivalent 5+ years of experience in HVAC, customer service, or related functions Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and standard office technology, including computers, scanners, phones, and virtual meeting platforms Physical Demands & Work Environment This full-time position requires approximately 40 hours per week and involves regular physical and sensory activity, including: Bending, lifting, and carrying materials weighing up to 50 lbs.
