Senior Client Delivery Specialist The Senior Client Delivery Specialist serves as a strategic operational partner for assigned Client Relationship Managers (CRMs), responsible for full lifecycle workflow management, cross‑functional coordination, business process execution, and administrative oversight. Strategic Workflow Ownership Coordinates all workflow for assigned attorneys, delegating tasks to other teams and ensuring quality control. Proactively anticipates attorneys’ needs, manages priorities, and resolves administrative challenges with minimal supervision. Tracks ongoing projects to meet deadlines and deliverables, monitors milestones, updates status reports, communicates progress, and assists with project plans, timelines, and resource allocation. Handles special projects and other duties to support the efficiency and success of attorneys’ practices. Uses workflow management software to log and manage tasks. Conflicts, NBI & Engagement Process Leadership Prepares and processes new matter forms, requests conflict checks, and opens new files. Billing, Collections & Financial Coordination Coordinates accounting administrative functions, including client billing matters and preparation of billing letters and client financial updates. Assists attorneys in tracking and monitoring alternative fee arrangements. Supports attorneys with automation, tracking, and monitoring of matter budgets. Client & Cross‑Functional Coordination Coordinates client communications, manages sensitive information, and serves as a liaison between attorneys, clients, and internal departments. Supports business development initiatives by coordinating events, preparing pitch materials, and maintaining client databases. Email & Administrative Optimization Proactively manages attorneys’ inboxes, prioritizing and flagging urgent communications; drafts, reviews, and responds to emails on behalf of attorneys as directed; organizes and archives correspondence. Provides general administrative support: maintains attorney contacts and tracks requirements related to CLE and memberships. Operates office equipment (PCs, printers, phones, copiers, facsimiles, and typewriters). Conducts all business confidentially and remains calm under pressure while managing timekeepers’ demands. Reviews and routes incoming mail and fax communications; prepares and processes outgoing mail and faxes; arranges specialized mail or messenger services as required. Assists in coordinating attorneys’ calendars, meeting arrangements, travel, and itineraries. Document & Matter Management Prepares, edits, formats, and proofreads legal documents, correspondence, and presentations with high accuracy; manages version control, file organization, and secure document storage in compliance with firm policies. Types, transcribes, revises, and proofreads legal documents, prioritizing assignments to meet project deadlines. Practice Alignment & Institutional Knowledge Demonstrates proficiency in the assigned Practice Specialty Center and related duties. Shares information and training tips with team members to maximize effectiveness. Delegation & Team Leverage Demonstrates effective teamwork and communication with team members and all firm personnel; participates in regular team meetings to discuss projects and workflow. Delegates specific tasks to other teams, ensuring coverage, timely completion, and quality control. Technology, AI & Upskilling Leverages automation and dashboards to improve tracking, organization, and execution of work. Participates in firm‑offered AI and technology trainings to maintain proficiency. Researches emerging tools and best practices and recommends process improvements. Performs other duties as assigned. Position Requirements Bachelor’s degree with coursework in a related field or commensurate professional experience. 5+ years of relevant experience providing comprehensive support to organizational leadership, preferably in a professional services environment. 3+ years of relevant legal assistance experience. Advanced proficiency in Microsoft Office Suite. Ability to identify issues, propose solutions, and drive work to resolution with minimal direction. Strong communication skills; provides concise, solution‑oriented status updates and recommendations to attorneys and stakeholders. Ability to handle confidential information of the highest level. Minimum typing speed of 60 words per minute; prior transcription experience preferred. Demonstrates discretion, judgment, and composure.
