Grants & Contracts Manager - Post-Award, Office of Sponsored Programs

The University of Virginia (UVA)Office of Sponsored Programs(OSP)seeks a Post-Award Manager to join theirteam, responsible fornancialmanagement of sponsored awardsfrominceptionto closeout. This position is eligible for remote and/or hybrid work .

OSP's mission is to provide leadership in research administration, support the research endeavors ofUniversityfaculty, ensure the responsible stewardship of research funding, and oversee the sponsored award management according to State,Universityand sponsor regulations.

The Post-Award Managerreports to the Assistant Director of Post-Awardandwill lead a team of Post-Award Accountants,assistingwith training, operational activities (including resolution of system errors), reviewing the team's workofmanaging awards from creation to closeout, and evaluating each team member's performance.

The Post-Award Manager mustpossessa comprehensive understanding of grants andcontractsadministration,as well as theextensive experienceneeded tomanageawards within the University's nancial and pre-award systems. The position requires the incumbent to have a thorough understanding of the nancial compliance requirements applicable to the award, following award terms and conditions, sponsor and University policies and procedures,andtobe responsible formanaging complex sponsored awards. Key duties encompassnancialreporting, invoicing, monitoring accounts receivable,andserving asa link between the University, schools and units, and research sponsors.

The Post-Award Manager coordinateswith colleagues from Finance, Pre-Award, Contracts, andschools and unitstotroubleshootobstaclesandsupportprocess improvements. This positionserves as a valued and respected resource forUniversityfaculty andsta, andcreates andmaintainsstandard operating procedures governing nancial management of sponsored awards,andalsorepresentsthe Universitywith externalsponsors and internally to departments,units, and schools.

Responsibilities

ManagerDuties:

• Facilitates hiring, onboarding, and trainingPost-Awardsta

• Completes quarterly performance discussions and annual performance reviews

• Provides mentorshipand professional development, andrecommendstraining opportunities

• Completes and approves HR-relatedWorkdaytasks and activities(e.g., leave, performance feedback, access requests, etc.)

• Determineseven distribution of workloadacross team,including quarterly evaluation of portfolio assignments

• Monitorsquality and timeliness ofstaff'scompleted tasksthrough quality control checks of work output, reconciliation reports,and othertools and resources

• Identifiesand communicatesongoingtrends andperformanceissues toleadership

Individual Contributor Duties:

• Managescomplex award portfoliosand providesadditionalsupportas-neededbased on staff coverage due tovacancies,PTO,andpeak surgesin award volume

• Supports continuousprocess improvement and maintenance of process documentation, includingincoordination with other areasofOSP andstakeholders across theUniversity

• Is activelyinvolvedin Workday system improvements, including assisting with testing for updates oradoption ofadditionalfunctionalities

• Reviewsquality assurance related reconciliation reports, and collaborates ondevelopment ofadditionalresources to supportreconciliation for quarterly/annual reporting

• Other duties as assigned.

Knowledge,Skills, and Preferred Experiences

• ExtensiveknowledgeofPre-and Post-Award Financial systems,sponsored program award setups, and financial grant management

• Demonstrated experience training, developing, and managingdirect reportsthrough complex processes

• Proficient indevelopingandmaintainingstandard operating procedures, as well as implementing systems and continuous improvement plans

• Adaptabletoquicklylearn andunderstandnewconcepts, processes, and systems

• Efficiently manages time andcompeting priorities,delegatesappropriately

• Active listeningandeffectivecommunication skillswith strong attention to detail.

Minimum Qualifications:

Education: Bachelor's degree.

Experience: Five years of grant and contract experience. Fouradditionalyears of experience may be accepted in lieu of degree.

Physical Demands:This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings and programs.

Preferred Qualifications:

Education:Bachelor's degree inAccounting,Finance,BusinessAdministration, or similar.

Experience:Seven years of experience in research administration with strength infinancial managementof sponsored programs.

Licensure: Certified Research Administrator (CRA) certification.

This is a restricted position and has a term limit oftwo(2) years , after which continued employment is contingent upon departmentneedand availability of funding.
