Program Specialist

The Program Specialist – Event Coordinator provides guidance, coordination, and support to a designated caseload of program participants to promote independence, skill development, and community integration. This position serves as a trusted advisor by maintaining communication with participants, families, referral agencies, and interdisciplinary teams to coordinate services and monitor participant progress. The role also supports daily program operations through administrative functions, recruitment activities, program development, and the planning and coordination of program events and special activities while working closely with the Program Director to ensure high-quality services, regulatory compliance, and continuity of care.

Essential Functions

• Protect the rights, health, safety, and well-being of program participants.
• Collaborate with the Program Director to develop and implement appropriate services for adults with disabilities.
• Guide program participants in program activities and provide support as needed.
• Serve as the primary advisor for an assigned caseload of program participants by maintaining communication with parents, care providers, and referral source case managers regarding participant progress, service needs, and program involvement.
• Develop and coordinate partnerships with outside agencies and their personnel to create supportive networks for program participants.
• Facilitate communication between program participants and external organizations to enhance resource availability and service delivery.
• Conduct consultations with program participants, parents, personnel, and outside agencies to gather insights and information.
• Attend off-site annual meetings at least twice a month.
• Transport program participants to and from program-related off-site meetings using agency or personal vehicles, as required and in accordance with agency policies.
• Maintain comprehensive documentation and financial records.
• Prepare and submit a detailed monthly report to the Director of Adult Program Services.
• Schedule and attend Individual Service Plan (ISP) meetings, professional meetings, interagency meetings, and conferences.
• Maintain open and professional communication with supervisors and organizational leadership.
• Assist in developing curriculum for the Adult Day Program.
• Oversee assigned staff and implement disciplinary actions as needed in accordance with agency policy.
• Coordinate the planning, organization, and implementation of program events and special activities, including Summer Camp when offered, by collaborating with staff, community partners, vendors, and volunteers to ensure successful event execution.
• Lead recruitment and hiring for program staff positions (e.g., Instructors and Personal Care roles).
• Collaborate with department heads, leadership, and Human Resources to support hiring and onboarding needs.
• In the absence of the Director, collaborate with the program management team to support the day-to-day operations of the Adult Day Program, ensuring continuity of services and appropriate care for program participants.
• Perform other duties as assigned.

• High school diploma or equivalent required.
• Minimum of three (3) years of directly related experience working with individuals with disabilities required.
• Bachelor's degree (B.A. or B.S.) in a related field preferred.
• Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and Access.
• Valid California driver's license, ability to meet agency driving requirements, and proof of current automobile insurance when using a personal vehicle for work-related purposes.

Physical Requirements

• Ability to lift and carry up to 50 pounds as required.
• Ability to bend, sit, and stand for extended periods.
• Ability to work in varying environmental conditions, including heat and cold.
• Ability to use and maintain equipment and technology requiring fine and gross motor skills.
• Ability to assist and move individuals using a wheelchair.
• Ability to safely operate a motor vehicle and assist program participants during transportation, as required.

Work Schedule : Full-Time; Monday – Friday. Occasional evening and weekend work is required to support program events and special activities. If Summer Camp is offered, this position is expected to participate in overnight, out-of-town travel and serve as a chaperone for program participants and staff during the multi-day event.
