Our onboarding team is not a typical HR function. We bring providers on board through a white glove process that can run anywhere from a few weeks to a year, coordinate across 11 departments, and support a fellowship program made up of 7 separate programs. We have just finished rebuilding our core processes and are now taking the entire experience to a creative level. We are hiring an Onboarding Operations Specialist to lead that build. Why join us? This is a rare seat for someone with a marketing or creative background to apply those skills inside an operations and HR environment, which is a hard combination to find and an even harder one to get hired into. You will not be expected to know HR. The team will teach you onboarding, systems, and process. They are hiring for creative instinct and technical curiosity, not a resume full of HR titles. You will have real latitude to research and bring in new technology, AI tools, and automation, and to redesign any process you think takes too long. You will present orientation to every new hire and work across 11 departments and multiple markets, which puts you in front of the organization from your first weeks. Job Details This role sits on a small onboarding operations team that manages provider and employee onboarding across multiple markets. Responsibilities Rebuild new hire orientation into an interactive, remote-accessible experience that works across all markets, including an international market. Convert onboarding playbooks from paper into interactive digital formats. Build 30, 60, and 90 day onboarding platforms, including benefits sessions, structured check-ins, and training content driven by employee survey feedback. Evaluate onboarding and project management platforms and recommend the tools the team should be using. Research emerging HR technology, AI automation tools, and digital engagement solutions, and bring practical applications back to the team. Coordinate provider onboarding as a project management function, working across 11 departments and managing timelines that range from a few weeks to a year. Present orientation to new hire groups and support the documentation, I-9 processing, and system entry that go with weekly start dates. Identify processes that take too long and redesign them. Qualifications Background in marketing, communications, design, or a similar creative field, including recent graduates. Strong technical aptitude and genuine curiosity about AI tools and new technology, with a track record of picking up unfamiliar systems quickly. Process improvement mindset, meaning you notice when something takes 2 hours that should take 15 minutes and you do something about it. Comfort presenting to groups. Strong organizational skills and the ability to manage multiple timelines running at different speeds. Ability to handle sensitive employee information with discretion.
