Accounting Assistant

The Accounting Assistant supports the finance team by performing a range of administrative and clerical tasks. This role is essential for maintaining accurate financial records and ensuring smooth day-to-day operations. ESSENTIAL JOB FUNCTIONS Perform day-to-day financial transactions, including verifying, classifying, and recording accounts payable and accounts receivable data. Reconcile the accounts payable ledger to ensure all bills and payments are accounted for and properly posted. Reconcile the accounts receivable ledger to ensure all invoices and receipts are accounted for and properly posted. Verify and investigate discrepancies by reconciling vendor accounts and monthly statements. Facilitate timely payment of invoices by sending reminders and contacting vendors. Generate reports detailing accounts payable and accounts receivable status. Understand expense accounts, cost centers, and compliance issues (e.g., W-9s, sales tax). Assist controller and CFO with preparing and editing financial documents. Reconcile financial records, including incoming and outgoing transactions. Maintain documentation for audits and compliance. POSITION IN ORGANIZATION This position reports to the controller or CFO and has no direct reports. Assumes responsibility for decisions and their consequences and results impacting the department and quality of service delivered by the department. COMMUNICATION Shall demonstrate the ability to effectively lead meetings and write professional correspondence. Great verbal and written communication skills, including the ability to listen, talk, and teach. Demonstrate an all-pervasive positive attitude. EDUCATION Associates’ degree in Accounting or related field.

EXPERIENCE

Strong attention to detail and organizational skills. Basic understanding of accounting principles. Ability to handle confidential information with integrity. Experience with the following software: Microsoft Suite, ERP software (Syteline), ADP (Workforce Now and HRB). PHYSICAL REQUIREMENTS Given that this role is an office position, there are not any physical requirements beyond the normal office setting requirements that include: sitting for extended periods of time, walking short distances within the office, and occasional light lifting.
