Job Summary The Vice President of Finance and Operations is a full-time, hybrid role based out of HIDA's headquarters office in Alexandria, VA. The Vice President is responsible for developing, implementing, coordinating, and administering the organization's financial policies and procedures, accounting methods and systems, budgets, internal and external reports, tax returns, and cash management. This role ensures the establishment and maintenance of a robust system of internal controls. The Vice President directs, supervises, and coordinates the activities of the Accounting Department, Human Resources and Information Systems. FINANCE
Responsible for the functional oversight and implementation of financial accounting of two associations (one 501(c)(6) Trade Association and one 501(c)(3) Educational Foundation), including the implementation and maintenance of a system of internal accounting controls, cash flow management, verification of investment transactions, custodian banks, and preparation of monthly financial statements that conform to generally accepted accounting principles. Directs the preparation and management of the annual budget for HIDA and HEF and quarterly updated projections. Coordinates the annual audit with independent certified public accountants and assists auditors in the conduct of audits. Prepare work papers and update monthly; plan audit timeline; and respond to auditor onsite requests. Provides fiscal reports and analytical support to the President and Treasurer as well as the Board of Directors and Operational Oversight Committees. Provides financial information and analysis to all internal users as well. Responsible for the financial issues (cash receipts, refunds, cancellations, etc.) arising from the annual Trade Show and other conferences, including reconciliation of financial information received from outsourced registration company and on‑site fiscal needs. Staff liaison for Operational Oversight committees of HIDA and the HIDA Educational Foundation. Manages staff payroll process including timesheet verification, data input and processing, required reporting, year‑end close and W-2 generation. Manages all financial government compliance and reporting including 990, 990-T; monthly Sales and Use Tax; quarterly 941; Annual 5500; Annual Report; Property Tax return. Provides oversight and backup support to Senior Manager, Accounting in such broad areas as AP, month‑end close, and year‑end reporting. Maintains all contractual documentation for function‑related service contracts and leases.INFORMATION TECHNOLOGY
Provides oversight and supervision for the IT function which includes maintenance and upkeep of local area network, all hardware and software, membership database, accounting system and e‑mail system. Oversees IT consultants in evaluating new hardware and software needs, systems conversions, upgrades, maintenance and enhancements. Coordinate this effort with internal staff or outside consultants.HUMAN RESOURCES
Provides oversight and supervision for the Human Resources function in all areas: recruitment, selection, employee relations, benefits administration, policy statement, performance management, disciplinary procedures and terminations. Manages outsourced vendor relationship. Oversees and encourages implementation of effective employee recruitment, retention, orientation and ongoing professional development initiatives organization wide. Conducts semi‑monthly payroll processing and all related reporting and funds transmittal activities. Serves as arbitrator and interpreter of HIDA policy statements with oversight of the President and CEO. With Broker and HR Consultant support, conducts periodic benefits offering reviews and market comparisons. Serves as Project Manager for HR special projects as assigned. Reporting and Working Relationships The Vice President is supervised by the President & CEO. S/he will serve as a member of the Executive Team. S/he has supervisory responsibility for the Senior Accounting Manager, outsourced IT contractor, and the outsourced Human Resources contractor. The position proactively gives budget, financial and management guidance to the President, and members of the Executive Team. The position also interfaces with external audiences including officers, members, prospects and volunteer leaders. S/he staffs the Operations Oversight Committees of the Association and the Foundation. Minimum Qualifications To perform this job successfully, an individual should possess the knowledge, skills, and abilities listed and meet the amount of education, training and/or work experience required. Education/Experience Bachelor’s degree in Accounting or equivalent experience; CPA or MBA preferred Eight years of relevant experience including financial accounting controls, processes and procedures, preferably in a non‑profit environment. Experience with computerized accounting systems, preferably Great Plains Dynamics and membership databases, preferably iMIS. Supervisory experience. Knowledge, Skills and Abilities Proven financial management and accounting skills. Excellent written and verbal communication skills. Strong supervisory skills with empowering/developmental staff management style. Proven interpersonal skills; ability to work well within a team environment and under pressure. Ability to implement new processes by achieving consensus and acceptance from a variety of individuals. Analytical/problem‑solving ability: to define problems, collect data, establish facts and draw valid conclusions. Results orientation – ability to handle multiple tasks and meet critical deadlines. Strong software skills including MS Office, database, accounting software and association management relational databases. Commitment to demonstrating core HIDA work values as stated in the Employee Manual. Working Conditions General office. Travel – two to three times a year.
