Responsibilities Collect lease payments from prospective, current, and past residents and securely place them in a locked community safe. Maintain lease files in compliance with standard operating procedures. Work with the marketing and leasing team to ensure occupancy budgets are met and the community maintains a professional and friendly atmosphere. Answer inbound phone calls, transfer them to the Assistant Community Manager or Community Manager as appropriate, and provide accurate information to prospective residents. Screen, qualify, and determine applicant needs and preferences, and provide professional presentation of community features. Screen, qualify, and assess facility habitability, safety conditions, and other housing requirements following the Fair Housing Act and Americans with Disabilities Act. Assist in the execution of lease agreements, including introductory stages, documentation, and compliance reporting. Maintain accurate records of leasing negotiations, conversions, and updates; complete and upload necessary lease documents. Prepare renewal offers and manage resident communications regarding renewal deadlines. Assist in marketing and leasing activities such as market research, advertising, tour scheduling, and ensuring compliance with marketing standards. Respond to resident requests for move‑in, move‑out, maintenance, or other services, and assure timely resolution in collaboration with maintenance staff. Document and upload resident information, including resident signatures, lease data, and system updates for lease‑to‑manage, move‑in, and move‑out processes. Follow through with vendor communications and any other coordinating responsibilities required for leasing and resident satisfaction. Assist in compiling and reviewing resident and occupancy reports for managers. Work with staff to ensure operational budget compliance and attendance. Learn and enforce overall community leasing policies and procedures in line with company guidelines. Ensure the office follows standard operating procedures and remains open in accordance with company schedules. Maintain accurate documentation for lease conversions, postings, and agent communications. Safety Responsibilities Learn and ensure compliance with all company local, state, and federal safety rules. Ensure that unsafe conditions are reported to the Community Manager in a timely manner. Follow a “safety first” principle at all times. Assist in executing proper responses and handling for all community emergencies. Work within company guidelines to minimize liabilities, including handling criminal activity, employee disputes, fires, floods, and other emergencies. Qualifications Prior experience in a customer service position. Knowledge of Multi‑family Operating Systems, multiple PC software packages, such as Microsoft Office. Strong organizational, communication, and interpersonal skills. Ability to work in a fast‑paced, customer‑service‑oriented environment, and excel at problem‑solving and time management.
