Property Management Operations Coordinator

Property Management Operations Coordinator Shoreline Property Management is seeking a highly organized, motivated, dependable, and customer-focused Property Management Operations Coordinator to join our growing team. This is a key operations role within our company, not simply a front desk position. We are looking for someone who enjoys taking ownership, solving problems, helping people, and seeing projects through to completion. No two days are exactly alike, so flexibility, initiative, organization, and a positive attitude are essential. This position serves as the first point of contact for our clients, tenants, property owners, vendors, and contractors while playing a vital role in the daily operations of our property management company. Daily Responsibilities Professionally greet all visitors, as you will be the first impression of Shoreline Property Management. Answer all incoming phone calls professionally and accurately document call details within our property management software. Respond promptly and professionally to tenant and owner questions, concerns, and requests while providing exceptional customer service. Create maintenance work orders and coordinate with property owners, tenants, vendors, contractors, and the Maintenance Supervisor to ensure repairs are completed efficiently. Proactively follow every maintenance request from beginning to completion, ensuring nothing falls through the cracks. Work closely with the Office Manager and other team members to ensure smooth day‑to‑day operations. Complete training and demonstrate the ability to independently coordinate the maintenance department within approximately 90 days. Assist with processing rental applications and lease renewals. Coordinate appointments with tenants, vendors, contractors, inspectors, and maintenance personnel while ensuring all deadlines and appointment reminders are met. Keep tenants informed throughout the maintenance process and move‑out procedures. Coordinate and verify that rental properties are fully rent‑ready prior to each tenant move‑in. Maintain an organized front office by keeping workstations, office supplies, copier areas, and common areas clean, stocked, and presentable. Take ownership of assigned responsibilities and consistently follow through until every task is completed. The Ideal Candidate The ideal candidate will possess: Proficiency with Microsoft Office 365, including Outlook, Word, and Excel. Excellent organizational and time‑management skills. Exceptional attention to detail. Strong problem‑solving and critical‑thinking abilities. Strong computer skills with the ability to quickly learn new software. A willingness to research solutions and continually learn. A highly organized, process‑driven, and task‑oriented mindset. The ability to prioritize multiple responsibilities while maintaining accuracy and attention to detail. Comfort communicating with tenants, owners, vendors, contractors, and coworkers by phone, e‑mail, and in person. A strong sense of initiative, accountability, and follow‑through. An analytical and logical approach to solving problems. A friendly, patient professional demeanor with outstanding customer service skills. The ability to multitask while remaining focused and organized. High personal standards and a strong work ethic. Excellent verbal and written communication skills. The use of earbuds, AirPods, headphones, or similar devices while working is prohibited unless specifically authorized for business purposes. Cell phones should remain put away and only be used for business‑related purposes during working hours. Failure to comply with these workplace expectations may result in disciplinary action.
