Job Description: Systems Administrator

Position Summary

The Systems Administrator is responsible for the day-to-day management, maintenance, security, and support of the organization's IT infrastructure, systems, networks, and end-user technology across the company sites.

The successful candidate will provide consistent, proactive IT support, develop a thorough understanding of internal business operations, and ensure that systems remain secure, reliable, and efficient.

The Systems Administrator is expected to prioritize operational requirements, internal users, infrastructure, and business initiatives during normal business hours.

The ideal candidate is organized, responsive, technically proficient, security-conscious, and capable of managing competing priorities while maintaining a strong commitment to internal service delivery.

Key Responsibilities

1. Internal IT Operations and Infrastructure

• Manage, monitor, and maintain servers, workstations, networks, storage, and other IT infrastructure.
• Administer Microsoft Windows environments, Microsoft 365, Active Directory or Microsoft Entra ID, user accounts, permissions, and access controls, as applicable.
• Maintain reliable network connectivity, including LAN/WAN, Wi-Fi, VPN, firewalls, and related infrastructure.
• Monitor system performance, availability, capacity, and reliability.
• Perform routine maintenance, patching, software updates, and hardware lifecycle management.
• Maintain system documentation, network diagrams, asset inventories, and configuration records.
• Coordinate technology deployments, upgrades, migrations, and infrastructure improvements.

2. End-User Support and Service Delivery

• Provide timely technical support to employees across offices.
• Troubleshoot hardware, software, connectivity, printing, account access, and application issues.
• Manage help desk requests, prioritize incidents, and communicate status and resolution timelines.
• Support employee onboarding and offboarding, including account provisioning, equipment deployment, access changes, and asset recovery.
• Establish and maintain consistent IT procedures and service standards.
• Identify recurring issues and implement solutions that reduce downtime and improve employee experience.
• Obtain management approval before accepting outside work or scheduling exceptions that may affect availability, performance, security, or company resources.
• Follow all applicable confidentiality, security, conflict-of-interest, and acceptable-use policies.

5. Cybersecurity and Risk Management

• Maintain security best practices, including access controls, multifactor authentication, endpoint protection, and system hardening.
• Monitor security alerts, investigate potential incidents, and coordinate remediation.
• Manage operating systems and application patching and vulnerability remediation.
• Support backup monitoring, recovery testing, disaster recovery, and business continuity planning.
• Maintain appropriate administrative privileges and follow least-privilege principles.
• Assist with security audits, compliance requirements, policy enforcement, and risk assessments.
• Report suspected security incidents promptly through established escalation procedures.

6. Backup, Disaster Recovery, and Business Continuity

• Monitor backup jobs and investigate failures.
• Maintain and test documented recovery procedures.
• Verify that critical systems and business data can be restored within established recovery objectives.
• Develop and maintain contingency plans for outages, hardware failures, cyber incidents, and other disruptions.
• Coordinate recovery efforts with management and relevant service providers.

7. Vendor and Technology Management

• Coordinate with internet service providers, software vendors, hardware suppliers, and third-party IT service providers.
• Manage technical support cases, warranty claims, licensing, renewals, and service escalations.
• Evaluate technology solutions and recommend improvements based on reliability, security, business requirements, and cost.
• Assist management with IT budgeting, equipment planning, and infrastructure roadmaps.

8. Documentation, Reporting, and Continuous Improvement

• Maintain accurate technical documentation, procedures, credentials-management records, and asset inventories using approved company tools.
• Document incidents, changes, maintenance activities, and system configurations.
• Provide regular reports on system health, open issues, security concerns, completed work, and upcoming initiatives.
• Identify opportunities to automate routine tasks, improve efficiency, and reduce operational risk.
• Develop repeatable IT processes to support the long-term transition to an internal IT operating model.
