Our Organization and Mission:   The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States.

Pay : $55,000.00 Annually

Position Summary: This position is responsible for serving as the Lead, assisting in training all aspects of Facilities Management, Leasing, Safety, and Telecommunications for the Office of the Attorney General (OAG). This position reports to the General and Operations Manager, assists with special projects, and serves as the point of contact in the supervisor’s absence.

Qualifications:  

• Four years of professional experience in general services/support services operations, purchasing, complex procurements, contracts, p-card management, telecommunications, and/or real property/facilities management; Or
• an AA in any degree area may substitute for two of the four years of required work experience. OR
• an BA in any degree area may substitute for the four years of required work experience .

Preference may be given to applicants with State of Florida, General Services experience.

Preference may be given to applicants with electronic file storage experience.

Preference may be given to applicants with a valid Florida Certified Contract Manager (FCCM) certification.

Preference may be given to applicants who can lift 50 lbs. unassisted and possess a valid drivers license.

The Work You Will Do:   This position’s duties include but not limited to the following:

• Incumbent must work efficiently and effectively to ensure timely and accurate performance of all duties. Incumbent is responsible for knowing and complying with all statutes, rules, policies, and procedures applicable to the duties and responsibilities of the position. 
• LEASING - This position serves as lead leasing liaison for the agency and between the Office of the Attorney General, Department of Management Services, tenant brokers, and property manager, and assists in training leasing liaisons. The duties include, but are not limited to, providing strategic planning recommendations and options to management related to agency’s statewide real estate needs; drafting and reviewing leasing documents and solicitations; compiling agency leasing reports; providing detailed analysis of current and future office space needs; maintaining leasing databases for tracking and reporting purposes; performing field office site visits, if necessary, and reviewing, and approving private and state lease invoices for accuracy and payment. 
• FACILITIES MANAGEMENT – This position serves as the lead for facility management services and manages agency tenant improvement activities for leased office space. The duties include, but are not limited to, drafting and updating floor plans for all offices statewide; independently managing facilities-related service requests for all offices; prioritizing and resolving issues in a timely manner minimizing operational disruptions. This position ensures building signage remains accurate, compliant, and up to date; evaluating signage needs and coordinating updates as necessary; providing consultative support to field office managers regarding signage standards, requirements, and placement; This position serves as the primary point of contact with Department of Management Services (DMS) for background checks, facilities projects, and timeline coordination related to the Collins Building; and communicates project status, impacts, and expectations to Collins Building staff and leadership.
• SAFETY - This position trains and leads the team responsible for maintaining record of safety inspection logs, and electronic file storage of safety records. This position is responsible for assisting the Alternate Safety Coordinator, preparing for meetings, leading Floor Warden meetings, preparing for audits ensuring safety compliance, and other related tasks as needed.
• TELECOMMUNICATIONS – This position serves as the lead for all aspects of the agency’s telecommunications program. The duties of this position include but are not limited to managing and monitoring the agency’s telecommunication inventory, reviewing and approving telecommunication invoices for accuracy and payment, troubleshooting telecommunication devices and services, maintaining the agency’s Phone Desk and Telephone Billing Database; reserving agency conference rooms, and managing the electronic file storage of telecommunication records.
• OTHER DUTIES –
  This position is responsible for maintaining a clean and organized workspace, coordinating services with vendors for services and goods, and assisting in aspects of Purchasing, as needed. Incumbent is responsible for following all unit work and communication processes and performs other duties relating to the responsibilities of the Bureau of General Services. Customer service and teamwork are essential functions of this position.
