Monday-Friday 8am-4:30pm (1 evening shift per week 12pm-8:30pm)

We are excited to announce the opening of the Medical Assistant (IOP) at Hendricks Behavioral Hospital. This role supports scheduling and care coordination for initial psychiatric evaluations and medication management follow-up appointments within the Outpatient Department. This role serves as a liaison between patients and providers for appointment-related questions, ensures timely confirmations and reminders, and provides direct support for administration tasks delegated by the Outpatient Provider, Administrative Support and Director of Outpatient. The MA will help improve clinical workflow, increase medication management visit capacity, and enhance patient care coordination.

Your Experience Matters What we're looking for:

Education: High school diploma or equivalent required. Associates degree preferred.

Experience: Preferably two or more years' experience in an intensive outpatient program in an acute psychiatric setting. A minimum of two (2) years' experience in a psychiatric hospital setting including customer contact.

PRIMARY RESPONSIBILITIES

1. Scheduling and Coordination
   • Schedule initial psychiatric evaluations and medication management follow-up appointments for the Outpatient Department.
   • Coordinate with providers and administrative staff to optimize appointment flow and reduce patient wait times.
   • Send and confirm appointment reminders and communicate scheduling changes to patients and providers.
2. Clinical Duties
   • Take and record vital signs (blood pressure, pulse, temperature, height, weight).
   • Interview patients and document medical history.
   • Collect and document lab specimens (breathalyzer, UDS)
   • Administer and process GeneSight testing
   • Administer medications and LAI/injections under Provider supervision.
3. Patient Communication and Liaison
   • Serve as a primary point of contact for patients with appointment-related questions, including medication refills or concerns.
   • Provide clear information to patients about appointment details, expected wait times, and required preparations.
   • Assist with other tasks such as FMLA paperwork, patient and patient family follow up coordination
4. Care Coordination and Documentation
   • Maintain accurate scheduling logs, connections log updates, and patient records related to appointments.
   • Communicate with the Clinical team about scheduling needs, patient flow, and any barriers to timely care.
   • Ensure compliance with HIPAA and organizational privacy standards in all patient interactions and documentation.
   • Assist with intake paperwork related to patient's physical health, patient check-in, and other administrative duties as needed to support clinical operations.
   • Entering Admission and Discharge orders on behalf of the provider
   • Assist with providing patients with documentation related to discharge instructions
   • Assist patients in finding aftercare/external medical providers as needed, such as dietician, PCP, dentist, etc.
   • Collaborate with Outpatient Department staff to improve processes and efficiency.

Skills

1. 1. Strong organizational and multitasking abilities with attention to detail.
   2. Excellent communication and interpersonal skills; ability to interact with patients, families, and clinical staff professionally.
   3. Proficiency with electronic health records (EHR) and scheduling systems; basic computer skills for documentation and communication.
   4. Ability to handle sensitive information with confidentiality and comply with HIPAA.
   5. Basic understanding of pharmacology related to psychiatric medications
