Switchboard Operator

Job Title and Classification Job: Switchboard Operator EEOC: Administrative Support Status: Non-Exempt Department: Business Operations Position Overview The primary duties of a switchboard operator include answering telephone calls, which may consist of multiple lines and extensions. Answers calls using professional telephone etiquette. Transfer or direct calls to the party the caller requests or determine where the caller should be directed, based on information about the purpose of the call. Asks follow‑up questions to determine where to route the call. Responsibilities Answer all incoming calls, provide pertinent information to the caller and transfer the call to the appropriate source if requested Relay voicemails and other messages to the proper location within the organization Perform various word processing responsibilities, including proofreading documents before they are sent out or updating the company phone directory Receive all company mail and deliver it to the right person Confirm voicemail message for the company phone system, including messages stating when the office will be closed for holidays Perform routine maintenance on switchboard system or contact IT department to visit the office to fix the system when necessary Conduct other administrative tasks, including sending faxes, scheduling appointments and making orders for more supplies Qualifications High school diploma Excellent speaking voice Superb customer service skills Knowledge of switchboards and phone systems Familiarity with clerical procedures Knowledge of basic office equipment, such as inkjet printers and fax machines Physical Requirements PHYSICAL REQUIREMENTS (MediumMax 25lbs): up to 25 lbs, 0-33% of the work day (occasionally); 11-25 lbs, 34-66% of the workday (frequently); 01-10 lbs, 67-100% of the workday (constantly); Lifting 25 lbs max; Carrying of objects up to 25 lbs; Occasional to frequent standing & walking, Occasional sitting, Close eye work (computers, typing, reading, writing), Physical demands may vary depending on assigned work area and work tasks. Environmental exposures include, but are not limited to: Blood-borne pathogen exposure, Bio-hazardous waste, Chemicals/gases/fumes/vapors, Communicable diseases, Electrical shock, Floor Surfaces, Hot/Cold Temperatures, Indoor/Outdoor conditions, Latex, Lighting, Patient care/handling injuries, Radiation, Shift work, Travel may be required.
