Talega is surrounded by beautiful mountains, open spaces and has plenty of outdoor trails for residents to explore.Role SummaryThe Onsite Community Maintenance Coordinator serves as a key support role responsible for ensuring the day-to-day maintenance operations of the community and on-site facilities are run smoothly. This position oversees the maintenance of facilities and common areas, parks and streetscape, performs on-site inspections, and provides customer service assistance. The Onsite Community Maintenance Coordinator supports the Facilities Manager in meeting Talega Maintenance Corporation’s goals and objectives while ensuring safe, effective, and efficient day-to-day operations that align with the Talega community vision through the maintenance of common grounds and facilities. This role provides recreational and administrative support, assists with customer service needs, upholds the aesthetics of the community as directed by the Board, and ensures the highest level of service is provided to Talega Members and their families, friends, and guests.ResponsibilitiesSupport Talega Maintenance Corporation’s goals and objectives by assisting with the effective management and operation of the community’s maintenance programs and servicesPromote and support the Talega community vision by maintaining high standards for the appearance, functionality, and overall quality of the communityProvide recreational and administrative support as needed to assist with community operations, events, and member servicesUphold the aesthetic standards of the community as established and directed by the Board of DirectorsEnsure a high level of customer service and responsiveness is provided to Talega Members, residents, families, friends, and guestsSupport a positive member experience by fostering professional communication and service excellence throughout all maintenance and community operationsOversee contractors, subcontractors and vendors assuring quality performance, compliance with all contractsEnsure all customer service calls and related work orders are handled in accordance with established policies and procedures and contractual specificationsEnsure all Landscape service calls and related work orders are handled promptlyImplement and administer service contracts, including the preparation of scopes of work and performance standards, RFP and bid review and reports for the TMC Board of DirectorsCreate detailed reports, cost analysis and other department metrics for Management and Board reviewOversee reserve asset replacement projects throughout the community. Participate in the development and revision of the annual project calendar. Strategically allocates both in-house and contracted resources to complete projects in a timely and cost-effective mannerProactively communicate with residents, Management and staff on the status of projects and work in the community through various communication platforms including the community website, mailed letters and notices, direct and mass email communication and social mediaProvides high level direction and oversight of job safety protocol and training, ensuring the highest standard for on-the-job safety compliance. Ensure application of all necessary safety procedures for legal complianceResponsible for the tracking and management of projects and coordinates site inspections on a regular basisRegularly report to Supervisor with updates on all job responsibilities.Attend all company mandatory functionsBudget and expense management responsibilities pertaining to areas of oversightRepresent professionalism and RealManage’s standards of operations to clients and staff at all timesOther projects and opportunities as may be deemed necessary and appropriate for this positionManagement and oversight of the Work Order System, providing weekly exception reports as directedSecondary ResponsibilitiesPractice and adhere to RealManage’s service standardsConduct business at all times with the highest standards of personal, professional and ethical conductComply with company policies and proceduresMust have reliable transportation, a valid California driver’s license, state mandated insurance, and be able to drive to other work locationsSeek to use environmentally sustainable materials, processes, tools and suppliesPerform or assist with any operations as required to maintain workflow and to meet schedulesMay participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelinesEnsure all safety precautions are followed while performing the workFollow all policies and Standard Operating Procedures as instructed by ManagementPerform any range of special projects, tasks and other related duties as assignedParticipation and assistance at Talega community events as scheduled.DisclaimerThis description is not intended to be an exhaustive list of duties.
