Staff Assistant I
Boston Centers for Youth & Families (BCYF) community centers serve Boston residents of all ages, offering affordable programs for residents of all ages across the City. Our goal is to provide quality programs that enrich the lives of residents and meet the needs of the community.
The Staff Assistant I is responsible for providing excellent customer service and information to clients, visitors, volunteers, and the general public on the phone and in the office; acts as a liaison between clients and on-site staff; assists with general intake information; notifies on-site staff of visitors with scheduled appointments, as well as walk-in inquiries. Check in patrons electronically via our membership system (PM). Lead, execute, and foster a welcoming environment.
Responsibilities
- Answers and follows through with phone calls.
- Data entry of general intake information and assists with general office work as needed.
- Prompt opening and closing of the reception area, including doors, phones, and the computer system.
- Maintains the reception lobby and other related public areas in a clean and orderly manner, including displays of brochures and pamphlets.
- Complies with training and cross-training requirements.
- Ability to identify potentially undesirable or harmful conditions developing and take action to defuse them.
- Works in compliance with the center's confidentiality guidelines and procedures.
- Employs a welcoming, respectful, and responsive manner at all times.
- Performs related work as required.
Minimum Entrance Qualifications
- Two (2) years of experience in administrative work required.
- Appropriate education may be substituted for the required experience on a prorated basis.
- Working knowledge of computers; Word, Excel.
- Ability to type 30 wpm.
- Good verbal and written skills preferred.
- Ability to work effectively in a multi-cultural, multi-ethnic work environment.
- Ability to exercise good judgment and focus on detail as required by the job.
