GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:
As the Development Assistant reporting to the Development Officer for Campaign and Stewardship, you will carry out a variety of responsibilities associated with the cultivation, solicitation, and stewardship of the Museum’s Trustees, donors, and prospects. You will support the Campaign Planning team’s work related to the administration of gifts of art, acquisition gifts, and other gifts as needed. This includes drafting, acknowledgement letters, gift agreements, and other donor communications. You will provide administrative, and logistical support for Trustee meetings, capital campaigns and the wider campaign team. Draft acknowledgment letters and other correspondence related to gifts of works of art, gifts to support art acquisitions, gifts to major tribute and memorial initiatives, and other gifts, as needed for Trustees and individual donors and prospects. Draft communications associated with the Acquisitions Committee meetings for the Board of Trustees, as well as gift agreements and/or other acquisitions-related correspondence, as needed, for Trustees and individual donors and prospects. Serve as one of the Campaign Planning team’s main writers, assisting with the preparation and finalization of stewardship reports, funding proposals, newsletter articles, and other communications, as needed, for individual prospects and donors. Support the production of a quarterly donor newsletter, including planning, writing, editing, and coordinating with printers and mail house. Support the oversight of pledge payment tracking by drafting pledge payment reminders and conducting necessary follow up for acquisition gifts, and other gifts as needed. Assist with the administration of donor and prospect stewardship by drafting stewardship reports to donors of endowed/spendable funds and other correspondence, including pledge payment reminders, exhibition opening and closing letters, and other written communications, as needed. Provide administrative and editorial support for semiannual and annual large-scale mailings and annual donor solicitation/recognition efforts, including the Annual Report. Provide administration and logistics support to the team’s recognition efforts as they relate to overall donor giving and top-level donor recognition programs, including the Museum’s Benefactors and the annual Great Hall / Guardian donor plaques. Provide procurement support, including ensuring compliance with all Museum policies and procedures related to purchasing goods and services and submitting requisitions, supplier invoice requests, and other forms for payment, for the Administrator of the Development Office with regard to their role as the Procurement Ambassador for Development. Interface, as required, with members of the Museum’s curatorial and administrative departments. Maintain and update donor database records. Available to work both day and evening events. Other related duties.REQUIREMENTS & QUALIFICATIONS:
BA degree or equivalent experience required; Art History, Art Administration, or English degree preferred. Previous experience in development or a related field, ideally in a non-profit context, strongly preferred. Excellent writing, editing, and communication skills. Ability to work under pressure and meet deadlines in a fast-paced environment. Ability to work well with others, as well as independently. High attention to detail and strong organizational skills. Strong computer skills and experience with Microsoft Office. Experience with Tessitura or other major development database system preferred. Experience with Workday or other financial management system preferred. Interest in the arts and a commitment to the Museum's mission.COMPENSATION RANGE:
Pay Range: $32.00 - $34.00 / Hourly The advertised pay scale reflects the good faith minimum and maximum salary range for this role. The specific compensation offered to a candidate may be dependent on a variety of factors including, but not limited to, the candidate’s experience, education, special licensing or qualifications, and other factors. Location Requirements At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.
