The Accounting Specialist is the first point of contact when questions arise about an invoice or payment claim status.Responsibilities:Accounts Payable Reconciliation and timely entry of all job payment claims for all assigned projectsReview and timely communication of outstanding compliance issuesTimely and accurate preparation of miscellaneous vendor invoices to ensure proper job cost chargesMonitor all payment claims and payment schedules to ensure deadlines are metReconcile vendor statements and adds supporting documentation to VistaAudit and verification of expense reports for processing in accordance with company policyProcess weekly A/P payment batches, EFT-Expense batches, and other EFT batchesAccounts Receivable With direction from Project Manager completes owner billing documents for submittalTrack owner payments according to owner contract terms with emphasis on past due itemsMonthly A/R reconciliation with the use of A/R Credit NotesJob Cost Investigate cost issues or questions for the Project Manager as neededAssist in preparing/processing Actually Spent Job Cost Allocations or Journal Entries as neededAttends monthly Project Review Meetings to stay abreast of job progress and financial statusUpdate and maintain project Cash FlowsAdditional Activities are assigned when additional team support is needed or special projects arise.Skills and Abilities:Understanding of accounting practices required for financial performance of a construction projectEffective communicator with ability to write and speak clearly in a variety of settingsPractices attentive and active listeningWell organized and able to prioritizeExcellent typing/data entry skills, 10-key by touchEducation and Experience:Bachelor's degree in Accounting or Finance preferred3+ years of related job cost experience preferredProficient in Microsoft Office with advanced Excel knowledge a plusImportant Interview Policy: To ensure a focused conversation and protect the privacy of both our candidates and team members, the use of AI note-takers, recording devices, or real-time transcription software is strictly prohibited during this interview.
