Job overview: Responsible for planning and scheduling maintenance and service activities for mining and construction equipment to ensure safe, efficient, and reliable operations. Manages the full lifecycle of work orders, including opening, tracking, closing, and supporting invoicing for accurate billing. Coordinates labor, materials, and resources while working closely with field teams and customers to minimize downtime and optimize productivity. The ideal candidate is highly organized, detail-oriented, and personable, with strong communication skills.
Key job responsibilities:
- Insure a safe working environment-equipment, machines, and housekeeping.
- Enforce all facility, department, and company safety rules and procedures.
- Develop a safety-first mindset and culture.
- Follow expectations and policies and procedures as outlined by planning and production managers, and field manager.
- Monitor and audit service jobs and activities to ensure our customers are provided a quality service capable of operating as designed with optimum dependability and productivity.
- Coordinate and schedule the work and locations based on the following: day-to-day jobs, planned outages set up by customers, emergency breakdowns.
- Use the appropriate systems and work sheets to achieve the assigned planning and scheduling objectives.
- Responsible for effective job planning, scheduling, communication, preparation, staging, bid preparation, work scope development, planning labor, and ordering material/parts.
- Work with supervisors to open jobs and order the necessary material for the jobs.
- Plan, research, coordinate, external resources such as hotels, rentals, and trucking.
- Daily dealing with vendors and warehouse to check parts pricing and availability.
- Receive materials and parts for service as necessary.
- Monitor job costs to ensure they are on track and all cost in job are correct.
- Run cost reports and analyze those reports for management, review with supervisors and managers.
- Prepare preliminary invoices and invoice customers.
- Operate in electronic recording keeping environment utilizing Teams and/or SharePoint or other system utilized by the team.
- Ensure appropriate documents are saved (preferred) or scanned into proper folders structure.
- Assist in maintaining electronic operating environment.
- Assist and manage special projects as assigned by supervisors and managers.
- Manage shared labor jobs in both ERP systems as a single project.
Qualifications/requirements:
- Education and/or experience equivalent to a high school diploma or GED, supplemented by advanced training up to or including a bachelor's degree in an appropriate field.
- Ability to gain knowledge of site processes, equipment, and infrastructure.
- Skilled in utilizing computer databases to research, maintain, and update records and files.
- Ability to communicate effectively, both verbally and in writing.
- Knowledge of basic preventive maintenance on assigned equipment.
- Ability to develop and maintain awareness of occupational hazards and safety precautions.
- Skilled in following safety practices and recognizing hazards.
- Software: SAP, CDK, MS Office, Gantt Charts
