Position Overview

We are seeking an organized, proactive, and detail-oriented Legal Secretary to provide comprehensive administrative and litigation support to our attorneys. The ideal candidate will thrive in a fast-paced environment and play an integral role in keeping our large-scale mass tort and class action dockets running seamlessly.

Key Responsibilities

• Document Management: Prepare, proofread, format, and finalize complex legal documents, including pleadings, briefs, discovery responses, and correspondence. Must be able to prepare a table of contents/authorities.
• Court Filings: Execute electronic and physical filings in California state courts and federal district courts (e-filing proficiency required). 
• Calendar & Deadlines: Manage attorney calendars, schedule depositions, coordinate hearings, and diligently track statutory court deadlines. 
• Case Intake & Communication: Serve as a warm point of contact for clients, opposing counsel, and court staff; assist with screening new mass tort inquiries. 
• Administrative Support: Maintain neat digital and physical file organizational structures, log attorney time entries, and process travel arrangements or expense reports. 

Qualifications & Skills

• Experience: 3+ years of administrative or secretarial experience within a law firm setting (experience in plaintiff-side litigation, civil litigation, personal injury, or mass torts is a major plus).
• Technical Savvy: High proficiency with Microsoft Office Suite (Word, Excel, Outlook) and standard legal tech platforms or case management databases.
• Court Knowledge: Solid understanding of general litigation procedures and timeline rules for state and federal courts.
• Core Competencies: Superior organizational skills, meticulous attention to detail, and a dependable, team-first attitude.
