Implementation Specialist - Epic EHR Systems

Job TitleAnalyzes electronic medical record (EHR) implementation projects to determine scope, level of effort, path, resources, training, timelines, support, and application build requirements. Leads projects during implementation go-live, directing support and clinic teams, and managing issue resolution process. Leads teammates and associates from other departments throughout project lifecycle. Acts as a subject matter expert for Adventist Health EHR and affiliated applications. Consults with market leaders on workflows and operations decisions clinics transition to the new EHR application. Collaborates with Adventist Health EHR partners, local IT, imaging, revenue cycle partners, clinical informatics, quality, and standards teams. Exercises independent decision making to ensure project success. Manages provider onboarding builds, which requires oversight of schedule builds, system access, testing, and necessary follow up. Oversees patient accounting builds for all implementation projects. Designs, builds, validates, maintains, and supports Epic Cadence Templates for all providers and scheduling departments. Analyzes and optimizes complex scheduling protocols and custom reports to ensure scheduling best practices and adherence to organizational template standards. Develops and maintains positive, collaborative, supportive working relationships with all members of the organization.Job RequirementsEducation and Work Experience:Associate's/Technical Degree or equivalent combination of education/related experience: RequiredBachelor's Degree: PreferredThree years' related experience: PreferredEssential Functions:Leads project management of clinic Adventist Health EHR application implementations. Identifies project scope, determines key participants, develops timelines and gathers data requirements for ambulatory builds. Leads project team members and holds everyone accountable for their tasks and deadlines. Acts as a change management leader for clinic teams. Communicates effectively with all project members during entire project lifecycle. Participates in testing as needed. Develops schedule for onsite go-live support and acts as onsite lead during event. Coordinates and submits build requests for existing clinics and providers, as needed, which includes oversight of schedule template builds, coordinating access, ensuring successful testing of builds, and collaboration with all appropriate teams. Oversees patient accounting build/tasks for ambulatory projects. Collaborates with revenue cycle team and implementation team.Acts as a subject matter expert on Adventist Health EHR and affiliated applications. Possesses in depth understanding of Adventist Health EHR systems including registration, scheduling and clinical documentation and system functionality. Uses system knowledge of ancillary applications, revenue cycle and 3rd party system integrations. Designs, supports, and builds schedule templates. Develops documents to drive quality improvement, including the design of quality monitoring forms and quality standards. Collects data, analyzes and develops/implements new strategies to ensure an effective scheduling process.Develops workflows and consult with clinic leaders on operations decisions. Utilizes knowledge of clinical operations and strong communication and analytical skills in order to define and document current state and future state workflows. Guides clinic decisions to ensure optimal and consistent workflows related to using Cerner application. Documents and updates process, procedures, guidelines, and training materials responsible for optimizing complex scheduling protocols, provider template build, and ad hoc and routine report generation.Collaborates with Adventist Health EHR partners, local IT, imaging teams, revenue cycle partners, clinical informatics, quality, provisioning, and standards teams. Collaborates and actively participates in workgroups and planning committees and lead teams as necessary on assigned projects. Collaborates with other team members on problem resolution to help inform actionable recommendations that will lead to the most efficient, streamlined appointment scheduling processes. Documents and updates processes, procedures, guidelines, and training materials responsible for optimizing complex scheduling protocols, provider template build, and ad hoc and routine report generation. Recognizes and supports the templates and fundamentally understand the impact on appointment availability, provider productivity, clinic work flow, clinic staffing, expense and revenue.Develops workflow training materials as needed. Facilitates training classes, collaboration and working sessions, and application demonstrations.
