Activities Coordinator

to join our Clubhouse team. The Activities Coordinator is responsible for helping develop, coordinate, and execute activities, programs, events, and special functions for the Heather Gardens community. This position works closely with the Recreation Coordinator and Clubhouse Manager to provide engaging programming, strong operational support, and an excellent experience for residents. The Activities Coordinator and Recreation Coordinator work collaboratively and are cross-trained to provide coverage for one another during absences, peak activity periods, special events, and other operational needs. WHAT YOU’LL DO Activities, Programs & Events Assist with the development and coordination of monthly resident activities, programs, entertainment, classes, and special events. Coordinate activity logistics, including room setup, supplies, decorations, equipment, food and beverage needs, and event materials. Provide hands-on support before, during, and following programs and special events. Assist with identifying new activities, programs, instructors, entertainment, and community engagement opportunities. Help ensure programs are organized, welcoming, appropriately staffed, and ready for participants. Coordinate event cleanup, room reset, and post-event follow-up. Clubhouse & Activity Operations Maintain activity-related supplies, equipment, inventory, storage areas, kitchen spaces, auditorium/back-room areas, and other program spaces in an organized and operationally ready condition. Monitor supplies and coordinate replenishment as needed. Assist with preparation and coordination of the Heather Gardens Activity Guide and other program communications. Support resident clubs and community activities as assigned. Assist with activity registrations, program information, room reservations, and resident questions. Support Clubhouse front-desk and operational needs when necessary. Recreation Coordinator Cross-Training & Coverage The Activities Coordinator will be cross-trained in Recreation Coordinator responsibilities and must be able to provide backup coverage when needed, including: ActiveNet or similar recreation-management software. Activity registrations and resident account assistance. Room reservations and facility scheduling. Club and program administration. Deposits, petty cash, payment processing, and related documentation. Activity Guide processes and administrative support. General Clubhouse procedures and resident service. The Recreation Coordinator will likewise be familiar with Activities Coordinator functions so the two positions can work together effectively and provide operational continuity. WHAT WE’RE LOOKING FOR High school diploma or equivalent required. Previous experience in recreation, community programming, event coordination, senior living, hospitality, community centers, or a related environment preferred. Experience planning or coordinating activities, events, classes, or programs preferred. Strong organizational skills and attention to detail. Ability to manage multiple priorities and changing deadlines. Creative approach to programming and resident engagement. Strong interpersonal and customer-service skills. Ability to communicate professionally with residents, employees, instructors, volunteers, vendors, and community partners. Comfortable learning and using technology, registration systems, Microsoft Office, and related administrative systems. ActiveNet or similar recreation-management software experience is a plus. Ability to work independently while also functioning as part of a collaborative team. CPR certification or ability to obtain certification as required. SCHEDULE This is a

full-time, non-exempt position

. The regular schedule will be based on Clubhouse operational needs. Some

evening, weekend, and holiday availability
