The Patient Care Coordinator serves as the primary point of contact for patients and plays a crucial role in delivering an exceptional, concierge-level experience in our private dermatology practice. This position combines patient-facing hospitality with strong administrative expertise, including insurance verification, billing support, and care coordination. The ideal candidate is a professional, detail-oriented, discreet individual committed to providing seamless, high-touch service from check-in through follow-up.

Key Responsibilities

Patient Experience & Front Office Operations

• Welcome patients with warmth, professionalism, and discretion in a clinical environment
• Manage appointment scheduling, confirmations, and patient flow efficiently
• Serve as a knowledgeable point of contact for patient questions regarding services, policies, and next steps
• Maintain a calm, polished demeanor while multitasking in a fast-paced setting

Insurance Verification & Billing Support

• Verify insurance eligibility, benefits, referrals, and authorizations before appointments
• Clearly communicate coverage, estimates, and financial responsibility to patients
• Collect co-pays, deductibles, and outstanding balances at the time of service
• Assist with billing inquiries, claim follow-up, and payment posting
• Collaborate with providers to ensure accurate documentation and claims submission

Patient Intake & Documentation

• Complete patient registration and intake, ensuring accuracy and confidentiality
• Maintain electronic medical records in compliance with HIPAA regulations
• Obtain and scan required forms, consents, and insurance documentation

Practice Coordination

• Support daily front office operations and assist with administrative tasks
• Communicate effectively with clinical staff to ensure smooth patient care transitions
• Uphold practice standards, policies, and brand presentation
