Office Assistant/Admin Staff

Overview Great Floors is a subsidiary of Artisan Design Group (ADG), a leading interior finishing organization. The company operates showrooms across the Pacific Northwest and supports homebuilders nationwide. Job Summary Under the direct supervision of the Office Supervisor or Branch Manager, this position provides administrative support for the commercial team and handles telephone inquiries. Responsibilities include managing subcontractor paperwork, prevailing wage filing, certified payroll reporting, customer billing for the Floor Maintenance division, scheduling floor cleaning, record keeping, office supplies procurement, direct mailings, and special projects. Responsibilities Organize subcontractor-related paperwork, including filing intents, affidavits, prevailing wage and certified payroll documents with L & I and related software systems. Prepare customer billing for the Floor Maintenance division. Schedule floor cleaning for the Floor Maintenance division. Sort and distribute mail. Answer phones for the branch. Order office supplies for the branch. Takes messages or field/answers all routine and non-routine questions. Act as a liaison with other departments. Work independently and within a team on special non-recurring and ongoing projects. Qualifications Education, Experience & Qualifications: At least 1 year of experience in a professional office environment; high school diploma or equivalent. Other qualifications include: Ability to present and articulate points clearly and effectively. Strong verbal and written communication skills. Wants to be part of a team. Problem solving skills. Physical Demands Stationary Position: Ability to remain in a stationary position (sitting or standing) for up to 90% of the workday. Mobility: Frequently required to move throughout the office, warehouse, or job site to access materials, equipment, or files. Lifting/Carrying: Frequently lifts and/or moves items weighing up to 10 pounds. Manual Dexterity: Frequently operates a computer and other office or production equipment. Communication: Ability to effectively communicate and exchange accurate information with customers and team members, including in busy or noisy environments. Work Environment Office/Design Center: Professional, climate-controlled office environment with moderate noise levels.
