Assistant Property Manager

Position Assistant Property Manager Compensation $25.00-$28.00 per hour DOE. Selected candidate may be required to live onsite in a 2‑bedroom townhouse‑style unit. Description of Position The assistant manager is responsible for answering the phone, showing units, processing applications and recertifications, Yardi data entry, leasing to new residents, record keeping, and serving notices. The assistant manager will perform various other management duties as assigned by the Property Manager, which may include tenant file maintenance, UCF file maintenance, tenant relations, answering public and resident inquiries, processing maintenance requests, and ensuring the excellent appearance of the building area. The assistant manager is expected to support the Property Manager within performance guidelines such as recertifications, interviews, vacancy, make‑ready times, outstanding work/case management requests, delinquencies, and other metrics measured weekly. Prerequisites High School Diploma or equivalent. Ability to relate well to residents, staff, service providers, and vendors. Mature, responsible, with good judgment. Flexible attitude and work schedule. Good communication skills and telephone manner. Previous experience of a similar type is desirable. Ability to work independently and follow directions. Stable background; ability to make decisions, accept training, and grow with the position. Skill in record keeping, supervisory qualities, and a people‑oriented attitude. Self‑motivated, cooperative, personable, and empathetic to human needs. Responsibilities Market vacancies and show apartments. Enforce rules and regulations. Service residents’ complaints and requests. Answer questions, provide information regarding applications and unit availability; answer the telephone and take complete messages. Conduct daily inspections of grounds and vacant units. Process tenant applications (credit, landlord, income/asset, and criminal background checks) in accordance with selection criteria and assist with the waiting list. Perform recertification interviews, send verification forms, and prepare certifications. Respond to emergencies: call 911, notify the Property Manager and/or Regional Supervisor, observe security monitors, and report suspicious activity. Be available to the Property Manager and tenants during regular business hours and on some weekends. Maintain tenant files in accordance with policy, HUD, and CTCAC audit guidelines. Use Yardi and other software to post rents, process applications, update information, and handle payables. Serve official notices and other communications to tenants. Assist the manager in preparing weekly reports, unit certifications, and other required reports. Perform unit inspections, follow up on maintenance and/or housekeeping issues, and monitor unit turnovers. Prepare itemized disposition of security deposits. Perform other duties as requested by the Property Manager. Management Duties Supervise all personnel and contractors as directed, including enforcing job descriptions and preparing work schedules for grounds maintenance, building maintenance, janitorial staff, and unit redecoration/turnovers. Reports Input rents and deposit information into Yardi. Respond to audit reports as requested. Provide other reports required by the Property Manager, Director of Property Management, and/or Regional Property Supervisor. Physical Requirements Driving or ability to travel between different locations in Santa Clara County. Use of computer. Sitting at a desk for extended periods.
