JOB SUMMARY: The Student Engagement Associate is a full-time, benefited position responsible for coordinating campuswide events and programs, administering processes and resources for Registered Student Organizations, assisting with operations of the campus food pantry, and providing administrative support for the Student Engagement department. The position coordinates event logistics, purchasing and travel documentation, calendars, records, communications, space and equipment reservations, and other departmental processes. This position serves as a primary point of contact for students, employees, student organization leaders, advisors, and community partners seeking assistance from Student Engagement. The Associate works closely with Student Engagement staff and student employees to provide organized, responsive, inclusive, and student-centered services.

Coordinate campuswide events and Student Engagement programs.

• Coordinate event schedules, locations, vendors, contracts, purchasing, equipment, catering, staffing, and setup.
• Maintain event planning documents, timelines, reservations, and departmental event calendars.
• Collaborate with campus departments and community partners on assigned events.
• Coordinate student employees and volunteers supporting events.
• Assist with event promotion and communication through established college channels.
• Collect participation information and assist with post-event assessment.
• Track attendance for campuswide events and assist with assessment and reporting efforts.
• Adjust work hours when needed to support evening and weekend events.

Administer processes, communication, and resources for Registered Student Organizations.

• Coordinate charters and advisor agreement forms
• Maintain accurate records for organizations, advisors, and required documentation.
• Communicate deadlines, procedures, training opportunities, and available resources.
• Assist student organizations with room reservations, event forms, purchasing, fundraising, travel documentation, and budget inquiries.
• Provide administrative support for the Student Activity Fee Allocation Committee (SAFAC), including preparation and tracking of allocation materials, contingency requests, reallocation requests, fundraising requests, and related records.

Provide administrative and clerical support for Student Engagement operations.

• Manage shared calendars, appointments, communications, files, forms, and departmental records.
• Prepare and route purchasing, contracting, travel, reimbursement, deposit, and related documents.
• Assist with budget tracking and organization of financial records.
• Respond to phone, email, and in-person inquiries and direct individuals to appropriate resources.
• Schedule meetings, prepare materials, and document notes.
• Maintain office supplies, shared resources, and organized workspaces.
• Provide administrative support for Student Engagement programs and staff.

Assist with daily food pantry operations and visitor services.

• Welcome and assist pantry visitors in a respectful and confidential manner.
• Stock, organize, and maintain food pantry inventory.
• Receive, document, and organize donations and assist with volunteer coordination, donation drives, and pantry events.
• Pick up food pantry donations and assist with receiving, unloading, and organizing food deliveries.
• Maintain accurate inventory and usage documentation and provide operational coverage as assigned.
• Maintain donor records and assist with donor acknowledgement and appreciation.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge Basic budget tracking, purchasing documentation, records organization, reporting, and compliance. Microsoft Office and similar software, including Excel, Word, PowerPoint, Outlook, and Adobe. Effective customer service techniques with the ability to present oneself and the college in a positive and professional manner.

Skills Strong administrative organization, scheduling, recordkeeping, and attention to detail. Strong verbal and written communication skills, including the ability to convey processes and requirements clearly. Interact effectively with others, build relationships, and manage interpersonal dynamics. Represent the organization in a professional manner, adapting to various situations with maturity, and maintaining confidentiality and discretion at all times.

Abilities Maintain an organized and orderly work environment. Coordinate, train, and motivate part-time student employees and volunteers. Prioritize, triage, and work in a high-paced environment with multiple tasks and projects performed simultaneously. Operate and troubleshoot standard office and event equipment, including computers, telephones, printers/copiers, projectors, and audiovisual equipment. Learn and maintain basic website updates, event platforms, and web-based administrative systems. Respond to common inquiries from college faculty and staff, regulatory agencies, vendors, regional business community, and others as may be necessary. Deal effectively and professionally with people; proven capabilities in establishing appropriate professional rapport, with courtesy and tact, to accurately determine other's needs, collect necessary information, and follow-through when requested. Read and interpret instructions in oral, written, or diagrammatical form (e.g., a flow chart of a process). Travel when necessary.

PHYSICAL/MENTAL DEMANDS:

• There may be occurrences of interacting with employees and/or students, past employees and/or students, members of the general public, and others who express opinions, may exhibit strong emotions, which will require the employee to interact professionally, diplomatically, and appropriately in such situations
• While performing the essential duties of this position, an employee would frequently be required to move around the assigned work areas as well as within hallways, meeting rooms, and other parts of the campus facilities
• There may be multiple/daily instances of prolonged sitting, standing, and personal computer use, which would include keyboard and/or mouse usage as well as viewing a computer monitor
• An employee must be able to lift and/or move up to 20 pounds
• Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus
• The overall work environment requires the mental ability to shift focal point quickly due to interruptions; an employee must be able to mentally track multiple projects and tasking as well

Education and Experience Requirements

Minimum Qualifications:

• Associate degree from an accredited college or university OR four or more years of direct experience and the equivalent to a high school diploma may be substituted for this education requirement
• Two years of experience in customer service, administrative support, or a related setting
• One year of experience working in higher education, student program organization, or event planning
• Experience working with students and/or student organizations in an educational setting
• Experience using Microsoft Office software, including Outlook, Excel, Word, and PowerPoint
• Experience navigating technology and online systems

Preferred Qualifications:

• Bachelor's degree from an accredited college or university.
• Four or more years of experience in a customer service or office setting
• Two or more years of experience working in higher education, student program organization, or event planning
• Experience assisting others with understanding policies and procedures
• Experience maintaining accurate records and supporting compliance with established policies and procedures
