Title: HR Assistant Reports to: HR Manager

Statement of Purpose: The HR Assistant helps with the implementation of policies and programs aimed at maintaining a safe, positive environment in the company, as well as the recruitment, onboarding and ongoing development of workforce. The HR assistant reports to the HR manager and also assists company managers with HR issues.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES

Recruitment/ New Hire Process

· Manage all aspects of the time clock system- verifying time sheets weekly, gather missing time clock data and paid time off entry to ensure proper pay. Also, identifying violations of attendance policy that need to be addressed.

· Run departmental reports and distribute them to needed parties.

· Schedule and perform interviews with Spanish speaking candidates as needed and give feedback to HR Manager.

· Assist with onboarding process- ensure all new employee paperwork is completed, processed, scanned and stored in proper locations. Orient new employees to all company policies, procedures, job expectations, and department goals.

· Help new employees acclimate to Mary Ann’s by building a bond of trust, so employees are willing to share job related questions or concerns.

· Develop schedules for training and meetings the HR department hosts.

· Manage the employee supplies ordering process- gather the orders, place order with purchasing department, check in supplies and distribute supplies to employees.

· Assist in annual review process.

· Translate and present training material for safety, staff training, staff development, and disciplinary procedures.

· Serve as a member of the safety committee to actively improve overall safety throughout the company.

Miscellaneous HR Tasks

· Interpret for Spanish speaking employees where needed for reviews, complaints, ordering items, work comp reports.

· Be recognized as a departmental and company-wide resource for internal policies or procedures.

· Serve as a link between leadership, management and employees by answering questions, communicating decisions and helping to resolve work related matters.

· Responsible for assisting in administering benefits and other office perks, employee engagement, new hire orientation, and exit interviews.

· Maintain information in HRIS system (Paylocity).

· Data entry where needed and provide administrative support to HR department.

· Excellent computer skills, Excel and demonstrated skills in database management and record keeping.

· Knowledge of employment law, compensation, organizational planning, organization development, employee relations, safety, training, and preventive labor relations, preferred.

· Understand and comply with HR ethics and confidentiality using utmost discretion in practices at all times.

Leadership Qualities:

· Must be adept at problem-solving, including being able to identify issues and resolve them in a timely manner.

· Consistent attendance and punctuality are critical. Be at work on scheduled days and be at your workstation by start time given, realizing you are an example for employees.

· The ability and desire to work with all individuals to make improvements in company.

· Provide a unified leadership message with all levels of management. Listen, observe and provide feedback to HR, department managers, plant foreman, quality control, and management. Be friendly, positive, helpful, professional, team-oriented and respectful to co-workers and management team

· Take action immediately by partnering with department supervisor, management and HR when made aware of policy violations. Communicate with team members that disciplinary action will occur if rules are not followed, and partner with line supervisor, management and HR if violations occur.

· Develop and maintain a good working relationship with maintenance, production, all levels of management and support personnel

· Look for safety hazards and act to resolve before an employee is injured

· Flexibility in hours during times of increased production, staffing challenges, and when handling employee issues is required.

· Prioritize and plan work activities as to use time efficiently.

· Be organized, accurate, thorough, and able to monitor work for quality.

· Perform other related duties as required

Bilingual: English/ Spanish - Required, verbal and written skills

Education/ Experience: At least 1 year of food production experience and degree in Human Resources Management or related degree, preferred.

MINIMUM QUALIFICATIONS:

This person must be motivated and be able to follow directions and complete tasks effectively. Thus, they must have initiative, organization and dependability. This person must be able to handle situations in a busy office environment. Someone in this position has constant interaction with company employees and must be able to maintain a positive demeanor throughout even the most difficult situations. Physical requirements include the ability to lift up to 20 pounds and regularly walk and stand, and sit at a desk and work on a computer for extended periods of time. This position requires the employee to work closely with managers, supervisors, production staff, and outside organizational contacts, so teamwork and effective communication skills are very important. HR assistants must be good listeners, and be able to communicate the needs and expectations of both the company and its employees. Be able to effectively communicate orally, in person and over the telephone, and in writing. The employee must be able to, with or without accommodation, work in all facilities within the requirements of this job description.
