Events Associate

Reports to: Director of Events and Programming ThinkLA is seeking a full-time Events Associate to support our events initiatives throughout the year. The Events Associate supports the planning, execution, and post-event analysis of ThinkLA's annual portfolio of educational, social, networking, philanthropic, and awards events. This role manages event registration, attendee communications, volunteer coordination, onsite event registration, and assists in post-event reporting. Additionally, the position supports membership administration. The right candidate will have a passion for customer service and excellence, as we endeavor to provide the most relevant events, initiatives, and programs which provide the most value to our members. Attention to detail combined with a proactive mindset and sense of diplomacy will be the best skills combination for this role. Responsibilities Registration and Financial Reconciliation Oversee the full event registration lifecycle, from opening registration through post-event reconciliation, including ticket sales and adjustments. Manage billing, refunds, and platform issues related to events. Perform comprehensive financial reconciliation for each event. Communications and Pre-Event Preparation Prepare name tags via mail merge, and manage event confirmation list uploads in Campaign Monitor. Create and send pre- and post-event emails and surveys; upload attendee lists for post-event outreach. Assist with seating arrangements, including coordinating table assignments, maintaining the table tracker, and supporting the event lead with the seating layout. Set up and manage name tags, table tents, and drink tickets using Canva and provided templates. Assist with event signage as needed. Monitor the Events email account and field general event inquiries. Provide customer service to attendees regarding registration, ticket transfers, refunds, and event information. Onsite Operations and Volunteer Coordination Lead event registration operations, including setup, volunteer coordination at check-in, and troubleshooting. Prepare and transport the event pack box and registration supplies; maintain and replenish event inventory. Post-Event Provide registration report for sponsors. Support asset management and organization of event collateral; clean up event files to eliminate unneeded documents. Skills/Qualifications Exceptional computer skills: Microsoft Office (Word, Excel, PowerPoint) and Google Workspace Suite (Google Docs, Sheets, Forms). Proficiency is required without exception. Experience in Canva and similar design tools. 2+ years of administrative and/customer service experience. 1+ years of event planning experience (nonprofit experience a plus). Superior verbal and written communication skills. Strong interpersonal skills. Exhibits a genuine desire to provide excellent customer service to members, guests, and staff. Ability to recognize problems and to take appropriate actions toward solutions. Excellent logistics and organizational skills. Exceptional and effective time management and prioritizing skills. High level of attention to detail and accuracy. Teamwork and collaboration. Salary and Time Requirements This is a full-time role which is classified as non-exempt (eligible for approved overtime). Our full-time roles are 37.5 hours per week. The compensation range for this position is $45,000 to $55,000. 401(k) with Employer Match. Monthly allowance for mobile phone and internet access.
