In this dynamic role, you will bridge site administrative operations, local HR management, and staffing vendor coordination to support our growing warehouse operations.

Key Responsibilities

1. Administrative & Facility Operations

• Expense Tracking: Review, verify, and reconcile monthly facility bills, including warehouse rent, employee housing, utilities, internet, and security monitoring fees. Submit timely payment requests and maintain real-time expense ledgers.
• Facility & Supplies Management: Maintain a safe, clean, and organized work environment at the Midwest facility. Manage office supplies and consumables inventory, aggregate supplies demand across sites, and coordinate procurement and distribution.
• Data & Communications: Update and submit monthly employee rosters and operational cost reports. Screen and forward critical emails to relevant team leaders promptly.
• Possess a service-oriented mindset and remain patient and composed; drive work forward based on role objectives rather than seeking personal victory, and  handle conflicts harmoniously.

2. Human Resources & Staffing Vendor Coordination

• Recruitment & Onboarding: Actively post job openings across multiple platforms, source resumes, and manage direct recruitment for warehouse personnel (typical hiring volume: 2–4 employees/month).
• Hiring Workflow: Schedule interviews, issue offer letters, collect onboarding documents, and manage complete employee entry and exit procedures.
• Timekeeping & Payroll Support: Calculate and verify timesheets for around 20 employees across warehouses and external agency workers. Prepare payment requests accurately and on time.
• Daily Workforce Logistics: Conduct daily attendance check-ins and assist in reallocating personnel based on workload across teams. Act as the primary point of contact for staffing agencies to handle tardiness, replacements, and next-day labor requirements.
• Vendor Management: Maintain relationships with labor outsourcing vendors, track service pricing and performance, and ensure a steady, reliable labor supply.

Qualifications & Requirements

• Mandarin required
• Core Experience:  Prior experience in admin support, HR coordination, or warehouse/logistics office administration.
• Local Commitment:  Seeking candidates looking for long-term career stability in the Naperville area.
• Meticulous & Detail-Oriented:  High level of accuracy and rigor when handling numbers (timesheets, cost reports) and managing multi-task administrative duties.
• Strong Service Mindset:  Customer-service oriented mindset with strong respect for operational workflows. Proactively collaborates with supervisors and warehouse leadership to solve problems.
