Position: Veterinary Receptionist (Care Coordinator) – Arkansas Veterinary Emergency & Specialists PetVet Care Centers' Arkansas Veterinary Emergency & Specialists is currently seeking Care Coordinators to join their team! Position Overview Join our team as a Care Coordinator who contributes to the success of a high‑performing organization committed to delivering superior care and exceptional service. Performs a range of administrative and customer service tasks, providing valuable support to the hospital. Within the veterinary field, this position aligns closely with roles often titled Veterinary Receptionist, Customer Service Representative, or Client Care Specialist. Key Responsibilities Shift differentials for overnights and weekends Coordinate the flow of pets and owners in the lobby; communicate with owners about wait times, scheduling glitches, and other problems. Identify potential emergencies in person or over the phone and schedule those appointments appropriately. Organize and process all payment plans, billing statements, and collections. Perform cashiering duties; process refunds, returns and credits as needed. Respond to inquiries about the range of services the practice provides and the species it treats. Input data into practice management software to check pets in; make simple postings to accounts; compile data for various reports. Receive and distribute incoming mail; process outgoing mail. Coordinate and schedule appointments; provide clients with special instructions; call clients whose pets have medications to be picked up or updates on current invoice amounts or deposits needed. Respond to client emails; type and edit various correspondence; process faxes. Ability to learn basic veterinary medicine terminology. Become familiar with common emergencies and be able to confidently discuss them with clients. Use Windows‑based computer systems, word processing, email, web search and other skills needed to effectively perform job responsibilities. Qualifications (Required) Applicants must be 18 years of age or older to be considered for this position. Veterinary or medical reception experience. Preferred Skills (Nice to Have) 2 years of veterinary experience. Schedule 12‑hour shifts either Friday, Saturday & Sunday or Friday, Saturday & Monday. Night shift, holidays, overtime.
