School Business Manager

Opening Statement Highland Hall Waldorf School is seeking a Business Manager. The School Business Manager oversees the day-to-day business and operational functions of the school. This position supports the Head of School and faculty by managing administrative systems, financial processes, facilities, vendors, auxiliary programs, and school events. The position serves as the primary on-site liaison with the school’s external accounting, IT, HR/PEO, and other service providers and works closely with families, staff, and vendors to ensure that school operations run smoothly and professionally. About Located on eleven acres, our school is located in northeast Los Angeles in the city of Northridge, a suburb. On the beautiful grounds we have an orchard, garden, and wooded area along with a gymnasium. Highland Hall is the oldest Waldorf school west of the Mississippi and is fully accredited by WASC and AWSNA. Essential Job Duties Key Responsibilities Financial & Administrative Operations Oversee daily business office and administrative processes. Coordinate with the school’s outside accounting firm, including invoices, receipts, payroll information, and financial records. Meet with families regarding tuition assistance and communicate established policies and decisions with professionalism and discretion. Prepare and distribute annual enrollment contracts using approved templates and fee schedules. Maintain accurate administrative records and systems. Vendors, HR & Technology Manage relationships with routine operational vendors and service providers. Serve as the primary liaison with the school’s outside IT provider. Coordinate with the school’s PEO regarding employee paperwork, onboarding, benefits, and other HR administration. Ensure required liability, permission, and fundraising forms are current, distributed, and properly maintained. Events & Community Support Support the school’s marketing and enrollment efforts in collaboration with the marketing department. Identify opportunities to strengthen the school’s visibility, community relationships, and enrollment efforts. Support open houses, celebrations, parent events, fundraising activities, and Board of Trustees meetings. Provide a welcoming, professional point of contact for families, vendors, and community members. Auxiliary Programs & Staffing Oversee registration, scheduling, and administration for summer programs, after-school clubs, and extended care. Hire, schedule, and supervise hourly after-school staff. Coordinate childcare coverage for parent meetings and other school needs. Facilities & School Operations Coordinate maintenance requests, repairs, and emergency building services. Communicate with maintenance and service vendors and ensure work is completed appropriately. Coordinate facility rentals, agreements, scheduling, and logistics for outside groups. Support the daily operational needs of the campus. Qualifications At least 3 years of experience in administration, office management, business operations, or a related field. Experience in an independent school or nonprofit environment preferred. Strong organizational, communication, and problem-solving skills. Comfortable working with budgets, financial records, and administrative systems. Proficient with standard office technology and cloud-based systems. Professional, discreet, and confident when communicating with families, employees, vendors, and leadership. Able to manage multiple priorities and follow projects through to completion. Willingness to work occasional evenings for school events and Board meetings. Commitment to the mission and values of the school.
