Spanish Bilingual Administrative Assistant

Virtual Management Services is seeking a motivated and detail-oriented Spanish Bilingual Administrative Assistant to support daily administrative operations and client communication efforts. In this role, you will assist with managing schedules, coordinating appointments, handling emails and documentation, and providing administrative support in both Spanish and English. The position focuses on organization, communication, and multitasking to help ensure smooth business operations, with training provided to support your success in the role.

Responsibilities

• Provide inbound phone support by answering and managing incoming client and prospect calls
• Conduct outbound follow-up and outreach calls to leads and existing clients
• Schedule, confirm, and manage appointments and calendars
• Manage and organize emails, including sorting, prioritizing, responding, and summarizing communications
• Update and maintain accurate client records in CRM systems such as AMS and Vertafore
• Track leads and coordinate timely follow-ups
• Provide Spanish-speaking support for clients and prospects when needed
• Assist with general administrative and operational tasks as assigned

Must Have

• Fluent in both English and Spanish (written and verbal)
• Previous experience in administrative support, virtual assistance, customer service, or similar roles
• Strong phone communication and interpersonal skills
• Excellent organizational and multitasking abilities
• Experience using CRM platforms and productivity tools
• High attention to detail and ability to work independently
• Reliable internet connection and a quiet work environment

Preferred Qualifications

• Experience working in a remote or virtual office environment
• Experience with AMS, Vertafore, or insurance-related systems
• Proficiency with Google Workspace, Microsoft Office, and calendar management tools
• Strong problem-solving skills and ability to handle confidential information professionally
