We're hiring an experienced Veterinary Practice Manager to lead the day-to-day operations of our veterinary urgent care facility and help us deliver fast, compassionate, high-quality care.
The Role
As Veterinary Practice Manager, you'll shape the business and operational side of the practice so our medical team can focus on patients. You'll manage staffing, finances, client experience, patient flow, and compliance in a fast-paced, walk-in environment where volume is unpredictable and speed matters. This is a hands-on leadership role for someone who thrives in a high-tempo clinical setting.
Key Responsibilities
- Operations & patient flow: Manage daily walk-in operations, optimize patient throughput, case management of hospitalized pets, and keep the floor running smoothly during peak surges, minimizing wait times.
- Staffing & scheduling: Build and manage schedules that match our variable caseload, including coverage for evenings, weekends, and high-demand periods.
- Team leadership & HR: Hire, onboard, train, coach, and retain a multidisciplinary team; handle performance management, conflict resolution, payroll coordination, and team morale.
- Financial management: Oversee budgeting, P&L, daily reconciliation, estimates and invoicing, inventory, and cost controls; track and report on key performance metrics.
- Inventory & controlled substances: Manage medical and pharmacy inventory, including DEA-compliant record keeping and handling of controlled substances.
- Client experience: Set the standard for client communication — including delivering difficult news and discussing costs clearly and quickly — and resolve escalated client concerns.
- Compliance & safety: Maintain OSHA, state, and regulatory compliance and keep the practice audit-ready.
- Vendor & facility management: Manage vendor relationships, equipment, supplies, and facility upkeep.
Required Qualifications
- CVPM (Certified Veterinary Practice Manager) credential — required, OR CVPM-eligible with a clear path to certification (we will support and sponsor your certification).
- Minimum [3]+ years of veterinary practice management experience.
- Demonstrated experience leading teams in a fast-paced clinical environment.
- Strong financial literacy — budgeting, P&L, and KPI reporting.
- Working knowledge of controlled-substance recordkeeping (DEA) and OSHA compliance.
- Excellent communication, organization, and problem-solving skills.
Preferred Qualifications
- Experience in urgent care, emergency (ER), or high-volume veterinary practice.
- Credentialed Veterinary Technician background (CVT / RVT / LVT).
- Experience with EzyVet
- HR certification (PHR or SHRM-CP) a plus.
