Responsibilities

**Hybrid position, 3 days in office and 2 days remote**

Key Responsibilities-

• Calendar & Interview Logistics: Manage complex, multi-time-zone interview schedules, coordinate leadership calendars, and handle rapid scheduling shifts smoothly.

• Process Management: Open and track internal job requisitions (RACs) and guide administrative workflows from start to finish.

• Documentation & Compliance: Draft, audit, and issue formal offer letters and oversee pre-boarding documentation with strict attention to detail.

• Data Integrity: Maintain accurate, up-to-date records within internal HRIS/ATS databases and tracking spreadsheets.

• Cross-Functional Partnership: Act as the central administrative bridge between candidates, hiring executives, and human resources to ensure a seamless experience.

• Reporting & Support: Generate administrative reports and provide general operational support to the broader department.

What We’re Looking For-

• Experience: 7+ years of experience as an Executive Assistant, Senior Administrative Assistant, Operations Coordinator, or high-level Project/Talent Coordinator.

• Technical Savvy: High proficiency with Microsoft Office Suite / Google Workspace and comfort learning data management systems (ATS/HRIS).

• Detail Obsessed: Flawless proofreading skills (for offer letters) and a laser focus on compliance.
