At the heart of the community is J Club, a private membership club offering resort-style amenities, social activities, and unique dining experiences.In this role, you'll support the day-to-day operations of the community, assist residents, coordinate administrative processes, and help maintain community standards. That's why we invest in benefits, time away, and professional growth that help our team members thrive both personally and professionally.Highlights Include:Medical coverage available on your first dayEmployer-paid dental coverageVision coverage401(k) retirement planEmployer-paid Life Insurance, AD&D, and Long-Term Disability coveragePet insurance optionsEmployee Assistance Program with mental health, financial, legal, and family support resourcesTravel assistance and identity theft protectionComplimentary will preparation servicesGenerous paid time off16 paid holidays each year, including a Birthday Day and Volunteer Day, in addition to PTOProfessional development and growth opportunitiesWhat You'll DoCommunity Operations & Administrative SupportCoordinate administrative activities, special projects, community events, correspondence, and mass mailings.Respond to resident and stakeholder inquiries in person, by phone, and by email, ensuring timely follow-up and resolution.Track community operational concerns, coordinate with vendors and contractors, and maintain accurate records of communications and resolutions.Assist with community meetings, operational reports, presentations, and other administrative needs.Maintain organized and accurate community records, files, and documentation.Community Standards & ComplianceInterpret and communicate community governing documents, guidelines, and standards.Conduct community inspections, document findings, and assist with covenant enforcement processes.Work collaboratively with residents to address compliance concerns through education, clear communication, and consistent follow-up.Maintain accurate compliance records and track outstanding issues through resolution.Architectural Reviews & Property TransfersCoordinate architectural application submissions, track reviews, and communicate with residents throughout the process.Serve as a point of contact for architectural inquiries, ensuring applications and documentation are complete and properly maintained.Assist with property transfers, resale inspections, and disclosure documentation in coordination with the Accounting Team.Maintain accurate records using community management and property transfer systems.Community Collaboration & SupportAssist with coordinating routine and preventative maintenance of community assets.Support community communications, including website updates related to operations, meetings, and governing documents.Collaborate with community leadership, team members, vendors, and residents to address operational needs and improve processes.Help create a positive resident experience through responsive service, thoughtful communication, and a team-oriented approach.What We're Looking ForMinimum of 3 years of progressively responsible experience in customer service, administration, and/or operations management.Community association management experience preferred, with knowledge of community governance, amenities, and HOA operations a plus.Experience coordinating meetings and working with committees, volunteers, or other stakeholder groups.Strong organizational skills with the ability to manage multiple priorities, maintain accurate records, and follow through on commitments.Excellent written and verbal communication skills with a professional, approachable, and service-oriented demeanor.Ability to navigate sensitive situations, address concerns diplomatically, and maintain composure during challenging conversations.Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint, with the ability to learn community management software.Strong attention to detail, sound judgment, and a collaborative approach to problem-solving.A genuine interest in supporting residents and contributing to a positive community experience.Additional RequirementsAbility to work a flexible schedule, including occasional evenings and weekends for community meetings or events.Valid driver's license, acceptable driving record, and reliable transportation for community inspections and off-site responsibilities.Ability to lift and move up to 30 pounds and remain on your feet for extended periods as needed.Equal Opportunity EmployerCohere is an Equal Opportunity Employer committed to creating an inclusive workplace where all team members are valued and respected.
