Location (city, state): Chicagoland, IL (100% Remote – candidates must be located in the Chicago area. Team meets quarterly)

Assignment Type: Direct Hire

Pay: $65,000 - $75,000 annually

Work Schedule: Monday - Friday, 8:30 AM - 4:30 PM

Job Description:

Our client is seeking a Manager, Certification Operations to support and oversee the daily operations of their certification and education programs. This role will help ensure certification processes run smoothly, maintain accurate program data, support customer inquiries, and assist with projects that improve the overall candidate and member experience.

The ideal candidate will have experience in operations, program coordination, credentialing, education services, or a related environment. This position is a great fit for someone who enjoys process improvement, working with systems and data, managing projects, and partnering with cross-functional teams.

Key Responsibilities:

  • Act as the first point of escalation for certification and operational issues, helping troubleshoot and resolve challenges.
  • Manage daily certification operations, including candidate support, product fulfillment, exam scheduling, and certification maintenance processes.
  • Maintain and update operational procedures, documentation, and program guidelines.
  • Support database management activities, including updating records, processing orders, and generating reports.
  • Assist with data integrity efforts and serve as a resource for database-related processes and reporting.
  • Partner with internal teams on certification initiatives, projects, testing, and system improvements.
  • Manage relationships with external vendors, including tracking service levels, resolving issues, and reviewing invoices.
  • Monitor technology and system support requests to ensure timely resolution.
  • Support customer experience initiatives by identifying issues and recommending solutions.
  • Assist with the creation and review of certification-related communications, including emails, FAQs, webinars, and website content.
  • Identify opportunities to streamline processes and improve operational efficiency.
  • Provide reporting and insights to support program performance and decision-making.
  • May provide guidance and supervision to team members as needed.

Qualifications:

  • Bachelor’s degree required or equivalent professional certification/experience.
  • 2+ years of experience in operations, program management, certification, education services, or a related field.
  • Experience working with databases, reporting tools, or learning management systems.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy when managing data and records.
  • Ability to troubleshoot issues and identify process improvements.
  • Comfortable learning new technology systems and software platforms.
  • Proficiency with Microsoft Office Suite, spreadsheets, and database applications.

 

Preferred Qualifications:

  • Experience working within a nonprofit, association, education, credentialing, or membership-based organization.
  • Experience with Association Management Systems (AMS), CRM systems, or Learning Management Systems (LMS).
  • Previous project management experience.
  • Previous experience supervising or mentoring team members.
  • Familiarity with reporting tools, SQL, or database queries.
