Program Manager

Job Summary Mass General Brigham is a not‑for‑profit healthcare system that relies on a wide range of professionals—including doctors, nurses, business people, tech experts, researchers, and systems analysts—to advance our mission of patient care, research, teaching, and community service. The Project Manager (PM) will support the Editor of Case Records and staff in the production and publication of the Case Records of the Massachusetts General Hospital. The PM will remain remote while collaborating with the Production Editor, Associate Editors, and MGH web developers to update and maintain the Case Records website. The PM will also work on special projects as requested by the Editor. Principal Duties & Responsibilities Initiate and track the life cycle of each case from inception to manuscript publication. Use project management software (e.g., Trello) to track workflow and keep each case moving forward on a strict timeline. Collect background data from the electronic medical record system. Organize and track all e‑mail communication. Assist the Production Editor with scheduling and coordinating virtual and in‑person hospital conferences. Serve as a resource and facilitate communication between authors, editors, and NEJM editorial staff. Assist with logistics and agenda for visiting speakers and patients. Compile manuscript materials—including text, images, figure legends—and ensure all parts are complete. Prepare bibliographies using Zotero reference manager. Provide editorial support to the Production Editor, handling weekly galley and page proofs and proofreading. Act as general resource for case records information and coordinate logistics for meetings. Track overall metrics of the Case Records and create a dashboard for each case. Flexibility and ability to switch tasks and projects as needed (required). Qualifications Bachelor’s degree required; master’s degree or certification in Project Management preferred. Three to five years of related work experience required, preferably in a hospital or academic environment. Remote work experience strongly preferred. Strong project management skills; highly organized and detail‑oriented. Excellent written and oral communication skills. Ability to liaise with people across departments and external organizations, including NEJM. Proficiency with MS Word, Outlook, Adobe Acrobat, PowerPoint, Photoshop, Excel, and Zotero reference manager. Knowledge of web design, Epic (or similar databases), Confluence, Trello, or other project management programs strongly preferred. Working Conditions Fast‑paced and dynamic team environment. Typical work hours are Monday through Friday during daytime hours, with occasional evenings and weekends as required. Additional Job Details Full time with option for hybrid; Monday–Friday 8 a.m.–5 p.m. flexible; 2 hybrid days and 3 days onsite.
