C&S is currently seeking a Contract Administrator for our national Aviation Practice. This position is located in our Albany, NY office and will consider other C&S office locations. Overall responsibilities include:

• Management of project-related contracts from creation through execution, monitoring, and renewal. 
• Ensure that agreements are compliant, accurately executed, filed appropriately, and aligned with organizational objectives. 
• Act as a central point of coordination, working with project/contract/client managers, legal, and accounting and finance to maintain contract integrity and performance. 
• Includes the creation, monitoring, and renewal of applicable subconsultant contracts and insurance, as necessary.

Essential Functions:

• Lead contract preparation utilizing standardized templates where available and coordinate with legal and accounting and finance staff for approvals.
• Prepare and coordinate execution of prime and subconsultant contracts.
• Review contracts for completeness, required provisions, and potential risks prior to legal review and escalate issues as appropriate.
• Coordinate with legal staff to obtain appropriate contract reviews and required insurance certificates.
• Serve as a resource to project managers regarding contractual requirements, client obligations, insurance requirements, and contract administration procedures.
• Coordinate with project/contract managers throughout the contract lifecycle to ensure appropriate documentation is filed and maintain contract compliance.
• Maintain organized contract files and ensure project documentation is retained in accordance with company policies and contractual requirements.
• Monitor, proactively update, and maintain contract tracking logs and databases to monitor execution status, expirations, renewals, rate tables, overhead documentation, budget utilization, and key contract milestones.
• Prepare, coordinate, and track contract amendments, supplemental agreements, scope changes, and contract extensions.
• Prepare periodic reports regarding contract status and upcoming actions.
• Assist in the preparation of work/task orders for term contracts.
• Track term contract status regarding start/end dates, overall budget capacity, subconsultant usage, renewal, extension actions required, etc.

• Detail-oriented with strong time management and organizational skills and the ability to adapt effectively to changing priorities.
• Ability to analyze contractual requirements and identify discrepancies or areas requiring clarification.
• Ability to manage multiple priorities and deadlines across a high volume of active contracts.
• Ability to communicate clearly and concisely, both orally and in writing.
• Advanced knowledge of Microsoft Office Suite.
• Ability to create and maintain productive relationships with employees, clients, and subconsultants.
• Ability to handle confidential and sensitive information with professionalism and discretion.

Education/Experience Minimum:

• 5+ years of experience in contract administration, project coordination, project controls, or related business operations roles.
• Associate's degree in Business Administration or related field preferred; certificate in contract administration is a plus.
• Experience supporting architecture, engineering, environmental, construction, or professional services contracts preferred.
• Familiarity with master service agreements, term contracts, task orders, and subconsultant agreements preferred.
• Familiarity with airport, transportation, or public-sector contracts preferred.
• Experience supporting federally funded projects is a plus.

Estimated Compensation Range and Benefits

$85,000- $110,000/year*

*Actual compensation may vary based on related work experience, geographical location and market conditions, education/training, certifications, and other credentials, as well as applicable knowledge and skills
