Commercial Services Specialist II (Manheim)

Company: Cox Automotive. Position: Commercial Services Specialist II. Location: a specified Cox location. Compensation: $24.09 – $36.11 per hour, with potential commission and incentive program. Responsibilities Provide comprehensive support to numerous account holders, proactively identifying enhancement opportunities. Run and analyze reports for trends and compliance; prepare and audit vehicle run orders, scheduling, notice to customer account, vehicle repairs, accurate charge posting (pre‑sale and limited post‑sale), reporting, invoicing, etc. Serve as liaison between clients and all auction departments, coordinating vehicle transportation, ensuring timely delivery and resolving emerging issues. Ensure vehicle inventories meet specifications; examine vehicles in the sales lineup, verify inventory through various programs, identify missing vehicles, and collaborate with account representatives to prepare vehicles for sale with suitable imaging and announcements. Prepare and submit accurate invoices, post charges to Accounts Receivable, process and send invoices as needed, and actively pursue collections. Maintain documentation for client audits, including file jackets, Condition Reports, and required announcements such as Structural, Flood, True Miles Unknown, AS IS – NAAA guidelines for miles and age, Branded Title, Manufacturer’s Buyback, etc. Develop positive relationships with clients, explain auction processes, vehicle availability, and delivery procedures. Demonstrate effective prioritization, professionalism, and excellent customer service in a fast‑paced environment; be receptive to change and able to multitask. Minimum Qualifications High School Diploma or GED and 3 years of related experience, or 5 years of related experience required. Prior clerical or administrative experience. Proficiency in Microsoft Excel. Ability to operate adding machines and other office equipment (e.g., copier, fax machine). Ability to sit or stand for prolonged periods. Valid driver’s license and safe driving record. Preferred Qualifications 1–3 years of clerical or administrative experience in the automotive industry.
