Medical Office Administrative Specialist – ( Patient Arrival & Support )

Job Type: Full-Time, Direct-Hire (Permanent placement on company payroll with immediate full benefits; not a temporary job )

Location: Cranberry Township, PA 16066 (On-site)

Schedule: Monday – Friday, Day Shift (7:30 AM – 4:00 PM; No evenings, weekends, or holidays!)

New Hire Starting Base Pay: $18.79 – $21.10 per hour (Starting pay based on experience, with clear advancement pathways as you build specialized expertise.)

Future Earning Potential: Established employees have the opportunity to earn progressive pay increases up to $28.03 per hour over time through performance, tenure, and continuous learning.

Mandatory Qualifications

  • Education & Environment: High School Diploma or GED required; comfortable working in a busy, fast-paced outpatient clinical environment.
  • Administrative & Customer Service Experience: Minimum 1 year experience as an administrative assistant; experience in a medical environment is highly preferred.
  • Software Proficiency: Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access) for routine documentation, email/calendar management, and basic presentation editing.
  • Front-Office Operations: Basic understanding of business procedures, message routing, visitor screening, and file/record maintenance.

How You'll Make an Impact

  • Patient Reception & Visitor Screening: Warmly greet, screen, and direct arriving patients, visitors, and vendors to the appropriate clinical staff members.
  • Front-Office Telephone & Calendar Support: Answer multi-line phone calls, route messages promptly, maintain departmental calendars, and schedule appointments and meeting spaces.
  • Clerical & File Operations: Perform daily office functions including copying, filing, typing, mail distribution, and maintaining organized paper and electronic records.
  • Supply & Equipment Management: Order and restock necessary office supplies and ensure essential front-desk equipment remains operational.
  • Departmental & Correspondence Assistance: Draft, edit, and distribute routine communications, meeting reminders, basic presentations, and departmental reports under supervision.
