School Health Office Assistant

The School Health Office Assistant provides essential support to the student body by performing routine health and clerical services under the direct supervision of a licensed school nurse. This position serves as a primary point of contact for students seeking medical attention during the school day, ensuring a safe and healthy environment through the application of established medical protocols. This position reports to the Elementary School Principal.

Essential Duties & Responsibilities

• Direct Student Care: Provide authorized first aid and emergency care for ill or injured students according to school policy.
• Medical Procedures: Assist with or perform medical procedures such as checking vital signs, blood glucose monitoring, and nebulizer treatments as delegated by the Licensed School Nurse.
• Medication Administration: Administer prescribed oral, topical, or emergency medications (e.g., EpiPens, Glucagon) following specific physician instructions and nursing supervision.
• Health Screenings: Coordinate and assist with state-mandated screenings, including vision and hearing.
• Clinical Documentation: Maintain accurate, confidential electronic health records (EHR), documenting all clinic visits, treatments administered, and student symptoms.
• Communication: Act as a liaison between the school and parents/guardians regarding student health concerns, illness notifications, or medical supply needs.
• Office Management: Maintain a clean, organized, and fully stocked health office; monitor AED machines

Required Qualifications

Certification: Must possess and maintain current CPR/AED and First Aid certification.

Pediatric Experience (Preferred): Prior experience working in a pediatric clinic, school setting, or other healthcare environment with children is strongly preferred.

Skills

• Proficiency in basic medical equipment (e.g., blood pressure cuffs, thermometers).
• Strong clerical skills, including data entry and record-keeping.
• Ability to remain calm and professional during medical emergencies.
• Strict adherence to patient confidentiality and HIPAA/FERPA regulations.

MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

Physical Requirements: The role requires good mobility and being able to bend, kneel, and occasionally lift or move students or equipment weighing up to 100 lbs (with assistance). Due to amount of time spent standing and/or walking, physical requirements are consistent with those for Light Work.

Data Conception: Requires the ability to compare and/or judge the readily observable, functional, structural, or composite characteristics (whether similar to or divergent from obvious standards) of data, people or things.

Interpersonal Communication: Requires the ability to speak and/or signal people to convey or exchange information. Includes receiving instructions, assignments and/or directions from superiors.

Language Ability: Requires the ability to read a variety of correspondence, reports, handbooks, forms, lists, etc. Requires the ability to prepare correspondence, simple reports, forms, instructional materials, etc., using prescribed format.

Intelligence: Requires the ability to apply rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagrammatic, or schedule form.

Verbal Aptitude: Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions. Must be able to communicate effectively and efficiently in standard English.

Numerical Aptitude: Requires the ability to utilize mathematical formulas; to add and subtract; and to utilize decimals and percentages.

Form/Spatial Aptitude: Requires the ability to inspect items for proper length, width and shape.

Motor Coordination: Requires the ability to coordinate hands and eyes rapidly and accurately in using office equipment.

Manual Dexterity: Requires the ability to handle a variety of office machines, etc. Must have minimal levels of eye/hand/foot coordination.

Color Discrimination: Requires the ability to differentiate between colors and shades of color.

Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under stress and when confronted with persons acting under stress.

Physical Communication: Requires the ability to talk and hear: (Talking: expressing or exchanging ideas by means of spoken words. Hearing: perceiving nature of sounds by ear). Must be able to communicate via telephone.
