POSITION: Yardi Trainer/Systems Specialist  

FLSA: Exempt   

DEPARTMENT: Asset Management  

POSITION SUMMARY   

The Yardi Trainer / Systems Specialist is responsible for the implementation, configuration, training, and ongoing support of the Yardi property management platform across the organization. This role bridges the gap between technology and operations, serving as the primary subject matter expert for all Yardi-related systems, workflows, and integrations. The ideal candidate combines deep Yardi product knowledge with the ability to design and deliver effective training programs for staff at all levels. 

GENERAL RESPONSIBILTIES   

System Administration & Configuration  

• Serve as the primary administrator for Yardi Voyager and related modules (e.g., RentCafe, Yardi Payments, Yardi Maintenance, Yardi Leasing) 
• Configure and maintain system settings, user roles, security permissions, and workflows in alignment with company policies 
• Manage system upgrades, patches, and new module implementations in coordination with Yardi support and internal IT 
• Troubleshoot system issues, escalate to Yardi Client Services as needed, and track resolution to completion 
• Build and maintain custom reports, dashboards, and data extracts using Yardi Report Scheduler and BI tools 

Training & Development  

• Design, develop, and deliver comprehensive training programs for new hires and existing staff on Yardi platforms and workflows 
• Create and maintain training materials including user guides, quick reference cards, video tutorials, and e-learning modules 
• Conduct one-on-one coaching, group training sessions, and remote webinars for on-site and corporate staff 
• Assess training needs across departments and develop targeted programs to address knowledge gaps 
• Maintain a training calendar and track employee completion and proficiency metrics 

Process Improvement & Operations Support  

• Partner with property management, accounting, leasing, and maintenance teams to identify workflow inefficiencies and recommend Yardi-based solutions 
• Document standard operating procedures (SOPs) for all Yardi-related processes 
• Support month-end and year-end close processes by ensuring accurate data entry and system readiness 
• Assist with data migrations, unit/lease setups, and property onboardings 
• Act as a liaison between operations teams and IT/software vendors for system enhancement requests 

Project Management  

• Lead or support Yardi implementation projects for new property acquisitions or module rollouts 
• Coordinate testing, user acceptance, and go-live activities for system changes 
• Develop project timelines, track milestones, and communicate progress to stakeholders 

QUALIFICATIONS & EDUCATION   

• 3+ years of hands-on experience with Yardi Voyager (version 7S or higher) 
• Demonstrated experience in a training, implementation, or systems support role 
• Strong understanding of property management operations including leasing, maintenance, and accounting workflows 
• Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) 
• Excellent verbal and written communication skills with the ability to convey technical concepts to non-technical audiences 
• Strong organizational and project management skills with the ability to manage multiple priorities 

Preferred  

• Experience with Yardi modules such as RentCafe, Yardi Payments, Voyager Commercial, or PAYscan 
• Yardi Certified Professional designation or completion of Yardi University coursework 
• Experience in residential, commercial, affordable housing property management a plus 
• Familiarity with SQL or Yardi report writing tools 
• Prior experience supporting a multi-site or multi-state portfolio 
• Bachelor’s degree in Information Systems, Business Administration, Real Estate, or a related field 

LANGUAGE ABILITY  

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, and governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, ownership, investors, clients, customers, and the general public. 

MATH ABILITY  

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages and area. Understand basic accounting principles and be able to read and interpret basic financial statements. 

REASONING ABILITY  

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables simultaneously.
