AP/AR Clerk

Pay-Rate: $18/hr.
Schedule: Monday-Friday 8am-5pm, In-Office

Position Overview

We are seeking a dependable, detail-oriented AP/AR Clerk to support the day-to-day accounting functions of a local company. This position plays an important role in keeping accounts payable and accounts receivable accurate, organized, and on schedule.

The ideal candidate is comfortable working with numbers, managing recurring deadlines, and communicating professionally with vendors, customers, and internal teams.

Accounts Payable

• Process vendor invoices and match them to purchase orders and receiving documents.
• Research invoice discrepancies and work with vendors and internal departments to resolve billing issues.
• Prepare payment runs, including checks, ACH and wire transfers.
• Maintain organized vendor files, AP records and supporting documentation.
• Assist with month-end close, including AP aging reports and accruals.
• Respond to vendor payment inquiries.
• Maintain W-9 documentation and assist with 1099 preparation.

Accounts Receivable

• Prepare and distribute customer invoices accurately and on schedule.
• Monitor outstanding receivables and follow up on past-due accounts.
• Apply customer payments and process cash receipts, checks and electronic payments.
• Maintain AR aging reports and escalate delinquent accounts as needed.
• Work with internal teams to resolve billing discrepancies and customer account questions.
• Assist with month-end AR reconciliation and reporting.

Additional Administrative Support

• File, scan and maintain accounting records and documentation.
• Prepare correspondence and internal communications as needed.
• Assist with audit preparation and gathering supporting documentation.
• Support special projects and other departmental needs.
• Perform general office and administrative duties as assigned.

Qualifications

• Associate's degree in Accounting, Finance, Business Administration or a related field preferred.
• 2-5 years of hands-on AP and/or AR experience.
• Experience with accounting or ERP software such as QuickBooks, Sage, NetSuite or similar.
• Industrial, oilfield services or manufacturing experience is a plus.
• Understanding of AP/AR processes, general ledger coding and basic accounting principles.
• Proficiency in Microsoft Excel, including spreadsheets and formulas.
• Strong attention to detail and accuracy.
• Good organizational and time-management skills.
• Professional written and verbal communication skills.
• Ability to work independently and as part of a team.
