Service (Maintenance) Supervisor

Responsible for the efficient administration of maintenance services and positive customer services for the Centerspace portfolio within the assigned region by performing the following duties personally or through maintenance staff.

Requires no supervision, able to self-direct and self-motivate completely. Prioritizes and sets deadlines. Assists others in prioritizing, setting deadlines, etc. Requires a high level of initiative, innovation and understanding of the big picture. Directs the work of others. Expected to be a mentor and resource to other maintenance staff.

Maintenance duties include conducting property inspections and determining preventative maintenance requirements based on equipment and structural needs; completing minor and major repairs of mechanical or aesthetic issues to ensure the property is optimally functional, presentable, and safe; performing minor and major HVAC maintenance, such as replacing motors and bearings; changing light bulbs, servicing flush valves, cleaning mechanical rooms, and plunging toilets; painting assigned areas and performing minor repairs to applicable areas; performing carpet repairs; demonstrating proficiency and responding appropriately to the building automation and security (including card access if applicable), fire, life, and safety systems; performing general building preventative maintenance to ensure equipment is safe and effective for use, and downtime with equipment meets or exceeds established specifications; servicing and monitoring the HVAC equipment; maintaining the environmental conditions of spaces to ensure the tenant and common space environments are acceptable for optimum use; performing preventative maintenance on HVAC, electrical, plumbing, lighting, doors, locks, and hardware; providing assistance to the Community Manager and/or Regional Manager to ensure that tenant improvements are accurate and address concerns with appropriate contact, such as construction or tenant; monitoring and maintaining tools; performing assigned duties as prescribed in safety manuals; responding to test situations accurately; maintaining sufficient technical and industry contacts and knowledge; participating in after hours on-call programs; assisting outside contractors with major inspections; serving as a key contact between the Regional Manager, Community Managers, and tenants; applying current knowledge or devising creative solutions to proactively resolve issues; utilizing any tools and/or processes implemented by the organization to assure adherence to quality standards; participating in capital improvements; completing pre-moveout and moveout inspections; and responsible for scheduling apartment turnovers in advance to achieve completion within five days of moveout (average).

Administrative duties include maintaining operating logs and record temperatures, pressures, and chemical level of heavy equipment such as chillers and boilers; completing reports and performing various administrative duties to positively support completion of activities and projects; maintaining accurate levels of inventory related to the building's mechanical systems to ensure optimum levels of inventory are on hand and readily accessible when needed; purchasing parts and supplies from vendors; reviewing pricing for competitive rates for parts, services, and supplies; stocking items when received; and participating in the budgetary process as requested by the Regional Manager.

Cleaning duties include cleaning up vacant areas; removing debris from the building and grounds; and providing backup for Community Porter.

Emergency situations include knowing and performing individual emergency procedures and duties as dictated by the site emergency procedure manual and the safety manual to ensure that actions promote the safety and security of the employees, occupants, and structures, and correct actions are demonstrated in test situations and actual emergencies; promptly responding to all emergency situations, fire alarms, and natural catastrophes; studying and knowing the site-specific emergency manual(s); and assisting tenant and emergency personnel in swift and careful evacuations when appropriate.

Other duties include communicating and interacting with property management and engineering staff for day-to-day operational issues; communicating regularly with vendors, equipment repair, maintenance, and tenants for day-to-day operational issues; analyzing strengths and weaknesses of current products and services; brainstorming and researching improvements and/or new products and services; participating in continuous improvement/quality initiatives and identifying improvements to, and/or develop new, products, services, or processes to result in the discovery of more efficient and effective methods and/or new offerings; participating in cross-functional and interdepartmental meetings/teams; serving as a resource and collaborating with both internal and external customers by obtaining and sharing knowledge and information and coordinating actions and decisions with other departments in order to enhance individual and customer abilities to achieve quality results; and may be responsible for snow removal such as driving the plow or bobcat or shoveling snow and de-icing walkways, etc, depending on the property and need.

Oversees and directs the daily activities of maintenance staff, supportive services and vendors; together with Community Manager and/or Regional Manager, provides input regarding hiring, terminating, and supervising maintenance and custodial personnel; coordinates with Training Manager to formulate training policies, programs, and schedules, based on knowledge of identified training needs, company production processes, business systems, or changes in products, procedures, or services; recommends employees for participation in internal or external education and training programs; maintains records and prepares statistical reports to evaluate performance of maintenance personnel's time and spending; assists Training Manager in maintaining mandatory training records and licensing for maintenance and custodial staff; and trains new maintenance and custodial staff of quality requirements and company policies and procedures.

Education and experience required include 5+ years' maintenance experience, demonstrated leadership capabilities, ability to prioritize tasks to ensure goals and time frames are met, exceptional customer-service skills, demonstrated ability to maintain strong working relations with both internal and external clients, and demonstrated ability to manage multiple and complex operational matters on a daily basis. Preferred qualifications include trade school education, EPA, CPO and/or boilers operator's license, HVAC, electrical and plumbing certifications or licenses.
