Office Receptionist

Position Summary

We are seeking a professional, organized, and personable Receptionist to join our financial advisory practice. The Receptionist serves as the first point of contact for clients, providing exceptional customer service while supporting the daily administrative operations of the office. The ideal candidate is detail-oriented, maintains confidentiality, and enjoys working in a fast-paced, client-focused environment.

Key Responsibilities

  • Greet clients and visitors in a friendly and professional manner.
  • Answer and direct incoming telephone calls promptly.
  • Schedule, confirm, and manage client appointments.
  • Maintain advisor calendars and coordinate meeting rooms.
  • Scan, file, and organize confidential client documents.
  • Process incoming and outgoing mail, packages, and correspondence.
  • Maintain accurate client records within the firm's CRM system.
  • Order and maintain office and kitchen supplies.
  • Keep the reception area and conference rooms clean and welcoming.
  • Support advisors and staff with various administrative projects.
  • Maintain strict confidentiality regarding client financial information.
  • Comply with firm policies and applicable financial industry regulations.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • Must pass federal background check.
  • Minimum 2 years of receptionist or administrative experience preferred.
  • Experience in a financial services, banking, insurance, legal, or professional office preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Experience with CRM software is a plus.
  • Professional appearance and positive attitude.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and accuracy.

  • Ability to prioritize multiple tasks.
  • Dependable and punctual.
  • Comfortable learning new technology and office software.
  • Ability to work independently and as part of a team.

Physical Requirements

  • Ability to sit for extended periods.
  • Occasionally lift or carry office supplies up to 20 pounds.
  • Frequent use of a computer, telephone, and office equipment.

Position Type/Expected Hours of Work - this is a full-time on-site position. Days and hours of work are Monday through Friday, 9:00 a.m. to 5 p.m.
